As the Meetings & Convention Operations Manager, you will be instrumental in orchestrating significant events, ranging from small meetings to expansive conventions hosting thousands of attendees. This is an opportunity to lead, innovate, and enhance our conventions and exhibitions.

This full-time position requires your presence onsite from Monday to Thursday, with the flexibility to work remotely on Fridays. The role involves some travel, accounting for up to 15% of your responsibilities.

Key Responsibilities:
  • Oversee the planning, organization, and execution of logistics for major events, including room arrangements, catering, audiovisual needs, signage, educational coordination, sponsorship management, and ensuring ADA compliance. Secure all necessary resources and services.
  • Manage the coordination of ATAE Meetings and Events, handling hotel bookings, audiovisual requirements, offsite logistics, and event contracts.
  • Review vendor agreements for associated meetings and facilitate negotiations. Monitor budgets for each vendor related to the event.
  • Act as the primary onsite contact for designated events, addressing real-time logistics and resolving issues to guarantee seamless event execution.
  • Build and maintain strong relationships with key industry stakeholders, including ATD and ATAE leaders, VIPs, NADA staff, and vendors.
  • Create and manage project timelines, maintain comprehensive documentation, and ensure all aspects of event planning are executed effectively.
Skills & Qualifications:
  • A Bachelor's Degree in Hospitality Management, Event Management, Communications, Business Administration, or equivalent relevant experience is required. A CMP designation is preferred, or a commitment to pursue one.
  • 5-7 years of experience in convention, event, trade show, and/or meeting planning is required.
  • Excellent organizational and communication skills are essential. Proficiency in Microsoft Office Suite is required; familiarity with Map Your Show, Envision, and Airtable is advantageous.
  • Detail-oriented with the ability to prioritize, manage multiple projects simultaneously, and effectively follow through on tasks while balancing competing demands.
  • Able to collaborate effectively, handle confidential information, and manage various responsibilities.
