As the Meetings & Convention Operations Manager, you will be instrumental in orchestrating significant events, ranging from small meetings to expansive conventions hosting thousands of attendees. This is an opportunity to lead, innovate, and enhance our conventions and exhibitions.

This full-time position requires onsite presence from Monday to Thursday, with flexible remote work options on Fridays. We pride ourselves on fostering a supportive work culture, offering competitive compensation and comprehensive benefits. The role involves occasional travel, estimated at up to 15%.

Primary Responsibilities:

  • Oversee the planning, organization, and execution of logistics for major events, including venue arrangements, catering, audiovisual needs, signage, educational sessions, sponsorship management, and accessibility compliance. Ensure all necessary resources are secured.
  • Coordinate ATAE Meetings and Events, managing hotel bookings, audiovisual requirements, offsite logistics, and event contracts.
  • Review vendor agreements for associated meetings and lead negotiations. Monitor the budget for each vendor linked to the event.
  • Act as the primary onsite contact for designated events, addressing real-time logistics and troubleshooting to guarantee seamless event execution.
  • Build and maintain strong relationships with key industry stakeholders, including ATD and ATAE leaders, VIPs, NADA staff, and vendors.
  • Develop and maintain project timelines, ensure thorough documentation, and oversee the execution of all event planning aspects.

Qualifications:

  • A Bachelor's Degree in Hospitality Management, Event Management, Communications, Business Administration, or equivalent relevant experience is required. A CMP designation is preferred or a willingness to pursue one.
  • 5-7 years of experience in convention, event, trade show, and/or meeting planning is required.
  • Exceptional organizational and communication skills are essential. Proficiency in Microsoft Office Suite is required; familiarity with Map Your Show, Envision, and Airtable is advantageous.
  • Detail-oriented with the ability to prioritize, manage multiple projects, and effectively follow through on tasks while balancing competing demands.
  • Able to collaborate effectively, handle confidential information, and manage various responsibilities.
