FUNCTIONAL PURPOSE

The objective of this role is to deliver administrative, clerical, and patron assistance to the administrative offices within the educational institution.

DUTIES AND RESPONSIBILITIES:

• Respond to and initiate phone communications to address inquiries from parents regarding their children, school activities, closures, and other operational matters of the educational facility, as well as direct calls to the appropriate personnel.

• Execute general clerical tasks, including maintaining the functionality of office equipment, managing the distribution of interoffice and postal mail, typing correspondence, editing documents, making copies, sending and receiving fax transmissions, laminating, and conducting inquiries into student-related matters as directed.

• Assist in the planning and coordination of activities for special events.

• Relay information concerning changes to student transportation arrangements to designated drop-off locations.

• Administer and provide controls or safeguards for student medication in accordance with district policies, building administration, and/or physician guidelines.

• Support student attendance management, including handling tardy students, those leaving due to illness, or those needing early checkouts for appointments or personal reasons.

• Prepare students for enrollment or withdrawal by gathering necessary documentation and contacting assigned educators and staff members.

• Aid guests, volunteers, and substitute educators by providing information about the educational institution and its operations, as well as conducting tours or assisting in other areas to ensure excellent service to visitors.

• Utilize student information system software to input data regarding student discipline or updates in student information.

• Perform other related duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

• Strong oral and written communication skills in both electronic and traditional formats.

• Ability to analyze problems and think critically while managing multiple responsibilities.

• Capacity to prioritize tasks effectively and meet established deadlines.

• Basic mathematical skills for performing addition, subtraction, multiplication, and division.

• Demonstrated patience and empathy when interacting with students and/or parents regarding their personal and educational needs.

• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).

• Ability to cultivate and maintain effective working relationships with staff and patrons.

• Skill in organizing materials and information, both electronically and physically, for efficient retrieval.

• Understanding of Family Educational Rights Privacy Act (FERPA) regulations and their application in sharing student information with various stakeholders.

EDUCATION AND EXPERIENCE REQUIREMENTS:
• Minimum: High School Diploma/GED with two years of general office experience or an Associate's Degree in Office Administration, Business, or 60 college credit hours, or an equivalent combination of education and experience.
• Preferred: Associate's Degree in Office Administration, Business, or 60 college credit hours along with two years of general office experience. Pay Grade 58 - Pay Rate $1,377.97 Monthly - Part-Time 50%- 10 Months
