Job Summary

The Administrative Assistant II provides administrative, clerical, and patron support to school building administrative offices. This role requires strong communication skills, problem-solving abilities, and the ability to prioritize tasks effectively.

Key Responsibilities
  • Answer and initiate phone calls to respond to parent inquiries and transfer calls to appropriate staff members.
  • Perform general clerical duties, including maintaining office equipment, distributing mail, typing correspondences, and editing documents.
  • Assist with planning and coordinating special events and activities.
  • Coordinate student transportation changes and dispense student medication as directed.
  • Support student attendance matters, including tardiness, absences, and early dismissals.
  • Prepare students for enrollment or withdrawal by collecting necessary documents and contacting assigned teachers and staff.
  • Provide excellent service to building guests, including volunteers, substitute teachers, and parents.
  • Utilize student information system software to enter information regarding student discipline or changes in student information.
Requirements
  • High School Diploma/GED plus two years of general office work experience or an Associate's Degree in Office Administration, Business, or 60 college credit hours.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Ability to communicate clearly, problem-solve, and prioritize tasks effectively.
  • Knowledge of Family Educational Rights Privacy Act (FERPA) regulations.
