Position Summary:
The Office of Information Services (OIS) serves as a central service provider for various business partners, delivering essential technology systems and services that support numerous agency staff across multiple locations. These systems are crucial for determining eligibility for various service programs, including medical, housing, food, and job assistance, as well as providing vital support services.
Within OIS, the Vendor Managed Office (VMO) team is dedicated to assisting business partners in managing IT vendor performance. This role entails offering strategic guidance and operational support during the IT procurement and contracting phases. Close collaboration with business partners is essential to assess system requirements, formulate contractual agreements, and secure optimal IT solutions while mitigating contractual risks.
Key Responsibilities:
Program Relationship Management for IT Services:
- Act as a trusted advisor to agency leadership, providing insights and recommendations to align IT solutions with business needs.
- Communicate project updates, risks, and issues to stakeholders, ensuring transparency and alignment throughout the project lifecycle.
- Offer consultation on IT system procurement and contracting processes, guiding business areas on effective contract management strategies.
- Continuously evaluate program feasibility, adjusting schedules and cost-benefit analyses as necessary.
- Collaborate with business partners to develop comprehensive business requirements and draft scopes of work for IT procurements.
IT Vendor Contract Oversight and Relationship Management:
- Oversee IT vendor contracts and manage relationships to ensure alignment with program objectives.
- Work closely with IT vendors to clarify business requirements and timelines, ensuring strategic alignment.
- Support the development and review of necessary documentation for submission to relevant authorities.
- Ensure compliance with standards and processes to meet operational and strategic goals.
- Facilitate contract amendments and coordinate with various stakeholders to enhance contract terms.
VMO Strategic Development:
- Provide strategic guidance in developing VMO processes and capabilities in collaboration with key vendors.
- Research and recommend effective contract management tools to enhance vendor performance tracking.
- Analyze key performance indicators (KPIs) to improve vendor performance and operational efficiency.
- Manage internal contract-related inquiries and optimize the vendor portfolio for strategic impact.
