Position: Bilingual Patient Services Representative (Appointment Scheduler)

The position requires a commitment of forty hours per week, with flexibility in scheduling to ensure optimal service delivery. Employees will work no more than five days a week. A solid understanding of computer systems and the ability to quickly learn the necessary software programs is essential. Compensation and benefits will be discussed and agreed upon.

PRIMARY RESPONSIBILITIES: Under the guidance of the Patient Services Supervisor, the Bilingual Patient Services Representative (Schedulers) will be tasked with scheduling and overseeing the appointments of assigned physicians, ensuring that their schedules are fully utilized while adhering to the organization's 20-minute wait time policy.

KEY DUTIES: The role is primarily conducted within the clinic environment at Arrowhead Orthopaedics. The responsibilities of the Patient Services Representative (Schedulers) are high-volume in nature, requiring a commitment to excellence in all tasks. Daily interactions will involve handling confidential patient information, which must be managed with the utmost privacy, discretion, and professionalism. The following duties are expected:

  1. Manage incoming calls and arrange patient appointments.
  2. Document patients' work status.
  3. Request reports, referrals, and authorizations.
  4. Prepare letters for Primary Care Providers.
  5. Distribute new patient information packets.
  6. Facilitate peer-to-peer communication for physicians.
  7. Coordinate with interpreters regarding patient appointments.
  8. Monitor faxes and maintain current correspondence.
  9. Perform additional tasks as assigned by the Patient Services Supervisor.
  10. Create patient charts.
  11. Relay messages to Physician Assistants and Doctors.
  12. Conduct basic insurance verifications.
  13. Scan and organize documents into patient files.
  14. Assist at the front desk during busy periods or staff shortages, which may include greeting patients and answering basic inquiries.
  15. Provide temporary coverage for the check-out representative as needed.

WORKING RELATIONSHIPS: The Patient Services Representative (Schedulers) will maintain the following professional relationships:

  1. Directly report to the Patient Services Supervisor, communicating any progress, requests, concerns, or issues related to job responsibilities through verbal or written means as necessary.
  2. Engage with other office and clinical personnel in a collegial and professional manner, contributing to a safe and pleasant work environment.
  3. Interact with patients, medical groups, adjusters, nurse case managers, hospitals, and Primary Care Physicians, ensuring all communications reflect a commitment to quality care and patient satisfaction. Any unresolved issues should be reported to the Patient Services Supervisor.

Qualifications:

  1. Education: High school diploma or equivalent.
  2. Typing proficiency of at least 40 words per minute.
  3. Experience with computers and scanners, including familiarity with software such as Microsoft Outlook and preferably Practice Partner.
  4. Excellent telephone etiquette, customer service skills, and professional communication abilities.
  5. Ability to multitask and adapt in a fast-paced environment.
  6. Bilingual in English and Spanish.

Physical Requirements:

  1. Ability to sit and walk, with occasional bending, reaching, and stooping.
  2. Occasional lifting of items up to thirty pounds.
  3. Normal hearing range for effective communication via telephone and in-person.
  4. Manual dexterity sufficient for operating office equipment and keyboards.
