Compensation, Benefits, and Advantages of the Office Administration Manager:

Key Responsibilities of the Office Administration Manager:

  • Oversee billing, accounts receivable, and collection processes within the facility.
  • Organize, assess, and supervise business office operations while managing assigned staff in line with established policies.
  • Engage with family members to collect necessary information and ensure accurate documentation of all payer sources in the electronic health record (EHR).
  • Assist with Medicaid Pending applications and collaborate with residents, families, and relevant agencies to secure center coverage through Medicaid.
  • Safeguard the integrity and confidentiality of all patient financial information.
  • Conduct collection activities for patient accounts.
  • Establish and maintain a comprehensive financial record-keeping system, including issuing receipts, preparing bank deposits, and recording payments with appropriate segregation of duties.
  • Collaborate with the home office billing team and payers to clarify billing requirements and ensure timely payment of claims.
  • Manage census activities, including daily, weekly, and monthly reconciliations with nursing and admissions departments.
  • Generate reports for analytical purposes as required.
  • Oversee month-end closing activities related to charge capturing and submission of all billing statements and invoices to payors.
  • Ensure adherence to all policies and procedures related to billing.
  • Monitor ongoing projects associated with accounts receivable, billing, and collections within the facility.
  • Manage the Resident Trust Account for in-house residents, including weekly and monthly reconciliations.
  • Oversee Center Petty Cash, ensuring weekly and monthly reconciliation and reimbursement.
  • Maintain personnel files in compliance with applicable legal standards.

Qualifications for the Office Administration Manager:

  • A high school diploma or equivalent is required, with some college or technical coursework and a minimum of three years of relevant experience, preferably in an Office Management role, or any equivalent combination of education and experience that provides the necessary knowledge, skills, and abilities.
  • Familiarity with Medicaid, Medicare, and Private Pay systems is preferred.
  • Experience in Office Management is advantageous.
  • Background in skilled nursing, geriatric, and long-term care settings is preferred.
  • Candidates must maintain a working email address and phone number for employer communication.
  • Proficient in computer software (Microsoft Office Suite) and hardware, as well as HRIS systems.
  • Strong interpersonal skills to manage sensitive information and documentation while ensuring privacy and confidentiality.
  • Attention to detail in composing, typing, and proofreading materials, prioritizing tasks, and meeting deadlines.
  • Good to excellent spelling, grammar, and written communication skills.
  • Excellent telephone and oral communication abilities.
  • Must be a collaborative team player with the capacity to work independently and efficiently in a fast-paced environment.
  • Ability to operate standard office equipment (printers, copiers, fax machines, etc.).
