Position Summary: The role involves delivering timely and effective administrative assistance to the Property Management division.
Key Responsibilities:
- Ensure compliance with tenant insurance certificate requirements
- Organize and manage recurring maintenance schedules and inspections, including fire safety and building maintenance
- Prepare essential documentation such as lease abstracts and tenant forms for accounting purposes
- Provide phone and email support for tenant inquiries and property-related issues
- Maintain and update the tenant contact database
- Oversee access control systems, including fob assignments and tracking
- Conduct credit checks for prospective tenants
- Draft various property management documents under the guidance of the Property Manager
- Establish and maintain both physical and electronic tenant lease files
- Assist in vendor management and contract preparation
- Facilitate the transfer of utilities upon tenant move-out
- Submit necessary reports to local authorities
- Respond to inquiries from potential tenants through property management platforms
- Engage in miscellaneous projects such as tenant welcome packages and benchmarking
Qualifications:
- Prior experience in an office setting is preferred
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Strong work ethic, positive demeanor, and sound judgment
- Ability to collaborate effectively within a team while focusing on client satisfaction
- Exceptional communication and listening skills
- Strong organizational capabilities with the ability to manage multiple projects
- Discretion and confidentiality in handling sensitive information
- Detail-oriented with strong analytical skills
- Ability to manage various tasks simultaneously
- Consistent punctuality
- Familiarity with property management software is a plus
Supervisory Duties: This position does not entail supervisory responsibilities.
Competencies: Successful performance in this role requires the following competencies:
Customer Service: Ability to address service requests and manage customer interactions effectively. Build relationships and respond to feedback to enhance service quality.
Education and Experience: An Associate's degree or equivalent from a two-year college or technical school, or a minimum of one year of relevant experience or training.
Language Skills: Proficient in professional business communication, capable of articulating ideas clearly and effectively.
Mathematical Skills: Ability to apply basic mathematical concepts to practical situations.
Reasoning Skills: Capable of solving practical problems and interpreting various forms of instructions.
Computer Skills: Proficient in word processing and spreadsheet applications.
Certificates and Licenses: A valid driver's license is required, with a clean driving record.
Physical Requirements: The role requires regular sitting, use of hands, and occasional lifting of up to 25 pounds. Vision requirements include close vision and the ability to adjust focus.
Work Environment: The work environment is typically moderate in noise level.
