Job Description

Job Summary:

The Construction Administrative Assistant provides critical support to the Manager of Construction and the Construction team, ensuring seamless office operations and effective field/site survey management.

Key Responsibilities:

  • Provide administrative support to the Manager of Construction and their assigned teams.
  • Manage office machines, systems, and data entry, ensuring timely and accurate updates of reports.
  • Respond to telephone requests and refer calls and visitors to appropriate staff.
  • Control mail and ensure timely staff response, maintain recurring internal reports, and requisition supplies and services.
  • Coordinate and file RFIs and submittals, maintain project logs, and develop site visit skills.
  • Download and upload to GC/Owner project management web sites, create and maintain workload schedules, and update percentages of completion.
  • Assist with reviewing applications for payment, researching GC questions, and attending weekly meetings.
  • Prepare punch-list documents and assist the CA Manager with ongoing daily workflow.
  • Knowledge of Excel, Word, and PowerPoint is required, as well as strong oral and written communication skills.
  • Ability to work well with the team, manage time effectively, and take on new challenges is essential.

Physical Demands:

The Construction Administrative Assistant must be able to sit and/or stand for long periods, handle stressful situations, and multitask effectively.

Work Environment:

The role requires working in a normal office environment, handling stressful situations, and meeting production schedules and budgets.
