Job Summary

This position is responsible for scheduling all patient visits and special procedures for Surgical Services, ensuring effective communication and conflict avoidance. The Surgery Scheduler serves as the first point of contact for customers, maintaining a professional demeanor and appearance that promotes department goals.

Key Responsibilities
  • Schedule patient surgeries and special procedures for the Main Operating Room, Outpatient Surgery Center, and Off-Site Anesthesia cases.
  • Maintain in-depth knowledge of case duration, including patient acuity and added time for trauma and other procedures.
  • Collaborate with fellows and physicians to avoid scheduling conflicts and ensure superior customer service.
  • Verify demographic information and schedule Preadmission Testing appointments.
  • Print surgery schedules, MD Scheduling and Activity reports, and other forms as needed.
  • Verify cases the day before surgery and enter Anesthesia and Nursing assignments into the scheduling program.
  • Notify team leaders of special equipment and requests and contact vendors as needed.
  • Verify and approve vendor visits through the Vendor Credentialing System.
  • Coordinate with departments for Intra-Op Tee, EMG, SSEP, Cord Monitoring, and other special procedures.
  • Order special drugs and supplies, and maintain a stocked inventory.
  • Serve as a liaison between physicians, patients, clinics, and private offices.
  • Monitor physician suspensions for delinquent medical records and notify residents of suspensions.
  • Verify surgeon privileges through medical staff and communicate with the medical staff office.
  • Validate with Admissions that all surgeries are clear of insurance authorization problems.
  • Collaborate with surgeons to solve problems, resolve conflicts, and ensure high-quality patient care.
  • Assist the Anesthesia department lead with the OR schedule and other related issues.
Qualifications

High School Diploma (or GED equivalent) and graduation from an accredited Medical Assistant program. Current/valid Certified Medical Assistant (CMA) certification required or Registered Medical Assistant (RMA) required if applicable. BLS – CPR certification required within 5 days.
