Job Overview

OBJECTIVE: The Project Coordinator is tasked with overseeing, organizing, and executing various educational initiatives, ensuring that all activities align with the established goals and objectives. This role serves as the primary contact for daily operations related to the projects.

The coordinator undertakes a range of project management and administrative responsibilities to facilitate the success of the initiatives, allowing senior leadership to concentrate on strategic planning and research activities.

KEY RESPONSIBILITIES:

· Provide comprehensive support to the director, assistant director, and project team across all facets of assigned initiatives.

· Organize, manage, and implement project tasks, resources, and materials effectively.

· Collaborate with the director and other stakeholders to manage significant project components.

  • Develop and present informative materials about the initiatives to various stakeholders, including students, families, and educators.
  • Maintain regular communication with students and families to ensure program alignment with their needs.
  • Conduct outreach visits to educational institutions to disseminate information about the initiatives.
  • Keep accurate records of student and family engagement in the projects.

· Establish and maintain a centralized digital repository for project documentation, including design documents, presentations, and reports.

  • Assist in the recruitment and training of mentors and educational staff.

· Organize events aimed at engaging students, families, and mentors in the educational process.

  • Design and update the project webpage to ensure relevant information is accessible.
  • Actively participate in project planning, including timelines, deadlines, and budget discussions.
  • Draft and maintain project schedules, outlining tasks and milestones in collaboration with leadership.
  • Conduct regular meetings with the director and assistant director to review project progress and manage workloads.
  • Maintain a project calendar and ensure all meetings are documented with accurate minutes.
  • Engage with external partners to foster collaboration and support.
  • Provide academic guidance to targeted student populations.
  • Assist with tasks related to the educational program at partner institutions.

· Develop agendas for meetings with both internal teams and external partners, ensuring thorough preparation and documentation of discussions.

  • Support budget management and resource allocation.
  • Assist in data collection and analysis as required.
  • Coordinate necessary materials and resources for project execution.

· Lead and facilitate educational sessions during designated program periods.

· Oversee summer educational programs, ensuring effective delivery of content.

· Manage inventory levels of supplies and resources, ensuring timely procurement and receipt.

· Collaborate with leadership to create comprehensive mentoring resources.

· Conduct research and compile information for reporting purposes.

· Develop personal work plans to prioritize and manage multiple responsibilities effectively.

  • Perform additional duties as assigned by leadership.

ESSENTIAL QUALIFICATIONS:

  • Demonstrated commitment to providing exceptional service to students and stakeholders.
  • Familiarity with university resources, policies, and procedures.
  • Effective communication skills, both written and verbal, with a focus on professionalism.

· Strong organizational and time management abilities, with a keen attention to detail.

· Capacity to work both independently and collaboratively on various projects.

· Ability to manage multiple tasks and projects simultaneously.

  • Proficiency in relevant technologies and software applications.
  • High interpersonal skills to handle sensitive information appropriately.

MINIMUM EXPERIENCE & EDUCATION:

  • Experience in an administrative or project management support capacity.
  • Experience working with educational professionals and students.
  • A bachelor’s degree or higher is required.

WORKING CONDITIONS:

  • In-person work is required, with potential for approved telework.

· Familiarity with university electronic systems is necessary for job performance.

· Commitment to completing responsibilities in a timely manner.

· A proactive approach to improving work performance is expected.

· Willingness to accept new responsibilities and adapt to changing work conditions.

· Consistent delivery of quality results is essential.

· Adherence to university policies and procedures is mandatory.

· Occasional evening and weekend work may be required with prior notice.

COMPENSATION:

· This position is a full-time, grant-funded role requiring 40 hours per week in an office setting. Compensation is based on qualifications and experience.

  • Employment is contingent upon satisfactory performance, with periodic evaluations.
