Distinguishing Features of Work

This role encompasses advanced technical and managerial responsibilities overseeing financial documentation, enterprise resource planning (ERP) administration, intricate accounting practices, and accounts payable oversight. The Administration Supervisor is tasked with ensuring the accuracy and timeliness of financial operations, including the management of financial reporting processes, compliance with regulations, and the implementation of accounting standards. This position also involves the management of a skilled team of accounting and administrative professionals, operating with a significant degree of autonomy. Major issues are reviewed by higher management, and progress is assessed through established objectives.

Workdays and Hours: Monday - Friday - 8:00am - 5:00pm

Examples of Work Performed
  • Oversees accounts payable operations, including vendor management and internal controls to safeguard assets.
  • Facilitates team meetings and serves as a liaison among various units within the Controller's Office and other Finance Department divisions.
  • Conducts analysis of financial trends and compliance with legal and contractual obligations.
  • Develops and modifies financial processes and procedures to enhance efficiency.
  • Addresses customer inquiries, including those requiring legal or policy considerations.
  • Coordinates special projects involving multiple divisions related to finance functions.
  • May present on financial reporting or ERP management topics to various levels of staff.
  • Ensures compliance with state tax reporting and other required financial documentation.
  • Plans, assigns, and evaluates the work of clerical and technical personnel.
  • Reviews compliance with GASB standards and assists in implementing new accounting pronouncements.
  • Contributes to the preparation of financial reports and ensures adherence to rigorous reporting standards.
  • Assists in the oversight of external audits and collaborates with other departments.
  • Supports the preparation of actuarial reports related to the City's financials.
  • Assists in budget preparation and monitoring for the division.
  • Oversees internal controls of the ERP system, including role assignments and workflow reviews.
  • Writes financial reports requiring a solid understanding of accounting principles and report writing software.
  • Resolves issues related to the ERP system in collaboration with other departments.
  • Performs adjustments to system settings and oversees month-end and year-end closing procedures.
  • Other related duties may be assigned as necessary.
Requirements of Work
  • Extensive knowledge of municipal finances, policies, and compliance procedures.
  • Strong understanding of accounting principles and financial reporting standards.
  • Knowledge of internal controls and best practices for financial management.
  • Familiarity with information processing and management principles.
  • Proficient in using computers for data analysis and reporting.
  • Ability to effectively plan and supervise staff activities.
  • Strong decision-making skills in accordance with established policies.
  • Ability to foster effective working relationships across departments.
  • Capability to learn and test ERP system upgrades.
  • Strong problem-solving and critical thinking abilities.
  • Excellent communication skills, both verbal and written.
  • Experience in supervising staff.
  • Thorough understanding of office practices and procedures.
Required Experience and Training
  • Bachelor's degree in accounting and active CPA certification.
  • Five years of progressive experience in accounting, auditing, or financial reporting.
  • Two years of experience in governmental accounting and financial management.
  • One year of experience with SQL report writing and financial software systems.
  • Two years of supervisory experience managing projects or teams.
  • Must be authorized to work in the United States without sponsorship.
Preferred Experience and Training
  • Three years of experience in database management and effective communication with end-users.
  • Advanced proficiency in Microsoft Excel.
  • Three years of experience with SQL report writing and financial software systems.
