Accounts Payable Coordinator

Job Summary:
The Accounts Payable Clerk is a key member of the Hassan & Sons Inc team, responsible for assisting in the processing and filing of invoices and payments. This role involves handling incoming and outgoing mail, ensuring that all documents are routed correctly.
Key Responsibilities:
- Receive, sort, and distribute incoming mail related to accounts payable.
- Prepare and send outgoing mail, including checks and correspondence to vendors.
- Ensure timely and accurate delivery of all AP-related mail.
- Assist in entering invoices into the accounting system, ensuring accurate data entry.
- Match invoices to purchase orders and verify receipt of goods or services.
- Help prepare invoices for approval and payment.
- Assist in preparing checks and electronic payments for vendors.
- Maintain organized files for all invoices, payments, and vendor information.
- Assist in keeping digital and physical records up to date and easily accessible.
- Ensure that all AP documents are filed correctly after processing.
- Enter data into accounting systems, ensuring accuracy and completeness.
- Provide general administrative support to the AP team.
- Communicate with vendors and internal departments to resolve basic inquiries.
- Assist in maintaining vendor contact information and W-9 forms.
Requirements:
- Good organizational skills with attention to detail.
- Ability to manage time effectively and prioritize tasks.
- Basic computer skills, including familiarity with Microsoft Office (especially Excel).
- Good communication skills, both written and verbal.
- Ability to work as part of a team and follow instructions.
- ADP & PDI software experience (Plus).
