Job Summary

We are seeking a highly organized and detail-oriented Convention Sales Coordinator to join our team at Visit KC. This role will assist our convention sales managers with various tasks, including lead management, bid book creation, and sales promotions.

Key Responsibilities:

  • Maintain accurate records and produce reports from our CRM system.
  • Assist with the creation and assembly of bid proposals.
  • Support sales managers with data entry and administrative tasks.
  • Perform general administrative functions to support the sales team.
  • Monitor and coordinate the administrative workflow of the Convention Sales department.
  • Assist with preparation for sales presentations and maintain a constant supply of sales materials.
  • Compose and type correspondence, including sales leads and itineraries.
  • Answer telephone calls and provide information to callers or route calls to the appropriate person.
  • Record minutes of various committee meetings.
  • Assist with special projects and events as needed.

Requirements:

  • College degree preferred.
  • Strong analytical and problem-solving skills.
  • High level of proficiency in Microsoft programs and ability to quickly learn industry-related CRM systems.
  • Ability to communicate effectively with a wide variety of customers.
  • Demonstration of proficient time management skills.
  • Excellent interpersonal, organizational, prioritizing, and sound planning and decision-making skills.

Working Conditions:

  • Primarily office-based with occasional offsite meetings and events.
  • Occasional light travel required for pre-promotional events, team events, and training sessions.
