Position Overview

The Probate Court Administrator I is responsible for the meticulous preparation and management of court documentation within the Probate Office and Probate Court. This role includes the drafting of reports, legal correspondence, and various legal documents. The administrator will also conduct thorough research within the records room and utilize the IBM terminal for data retrieval. Scheduling of court hearings and meetings is a critical function of this position, along with addressing inquiries from the public, legal professionals, and other stakeholders. Additional responsibilities may be assigned as necessary.

Key Responsibilities

  1. Oversee the preparation and management of a diverse array of court cases and legal documents, including the coordination of the Judge's calendar with legal representatives and the organization of court files for official recordation.
  2. Manage financial transactions, including the preparation of billing and receipts, while ensuring daily financial records are balanced.
  3. Execute any additional tasks as directed by the Probate Judge or the Probate Court Administrator III.
Qualifications
  1. High school diploma or equivalent is required.
  2. A minimum of two (2) years of experience in a legal capacity within a court or attorney's office is mandatory.
Additional Requirements
  1. Willingness to travel for workshops, conferences, and seminars as required.
  2. Availability to work overtime, non-standard hours, or weekends to meet project deadlines.
Skills and Competencies
  1. Strong verbal communication skills to effectively interact with office personnel, attorneys, and the public.
  2. Basic mathematical skills for financial transactions.
  3. Proficient writing skills for the accurate completion of forms, reports, and legal documents.
  4. Reading comprehension skills to interpret codes, regulations, and policies.
  5. Familiarity with county rules, policies, and regulations.
  6. Ability to establish and maintain effective working relationships with colleagues, supervisors, and the public.
  7. Sound judgment in decision-making in accordance with departmental policies and procedures.
  8. Proficiency in operating office equipment such as copiers, calculators, typewriters, personal computers, and printers.
  9. Knowledge of filing systems and document management.
