ISMG's events also serve as a valuable platform for vendors to effectively engage our audience, enhance brand visibility, and generate sales leads through sponsorship opportunities. The quality of these sponsorships is directly linked to the excellence of our events and the caliber of attendees we attract. Therefore, we are seeking an Event Coordinator to join our team and play a vital role in the successful planning, promotion, and execution of our sponsored events.
Key Responsibilities
- Oversee the planning and coordination of ISMG's sponsored events from inception to completion, aligning with requirements, target audience, and objectives.
- Manage budget compliance, venue selection and bookings, logistics, catering, speaker coordination, and promotional activities.
- Act as the primary point of contact for event sponsors throughout the event lifecycle, ensuring their expectations are met.
- Drive audience development and attendee recruitment, including segmenting and distributing invitations to contacts within our internal database, along with additional prospecting and outreach efforts.
- Ensure appropriate attendance levels through proactive recruitment efforts via professional networks.
- Assist in expanding the global attendee prospect database and nurturing existing relationships by recruiting C-level executives for participation in events.
- Create compelling marketing content and utilize Marketing Automation Systems to execute and monitor event promotions.
- Edit, proofread, and optimize promotional materials to meet both ISMG and client standards.
- Collaborate with ISMG Sales, Editorial, and Graphics teams to ensure timely completion and approval of deliverables by sponsors.
- A Bachelor's degree or higher in Marketing, Events, Public Relations, Communications, or a related field.
- A minimum of 5 years of professional experience in event management, audience development, and/or sales.
- Proven experience managing client projects and expectations with a focus on event performance.
- Experience with virtual events, preferably using platforms such as Zoom, GoToMeeting, BlueJeans, or WebEx.
- Familiarity with marketing automation tools; experience with Marketo is a plus.
- Exceptional time management skills, capable of handling multiple projects and assignments while prioritizing tight deadlines.
- Adept at thriving in a fast-paced media environment.
- Strong verbal and written communication skills are essential.
- Multi-lingual abilities are advantageous (particularly in French, Italian, German, or Spanish).
