Administrative and Clerical Support Responsibilities
• Procures supplies and provides recommendations for necessary equipment repairs, replacements, or additions within departments.
• Maintains and updates operational manuals as needed.
• Executes and manages computer operations, including departmental and professional correspondence, reports, schedules, budgets, inventories, purchase orders, work orders, staffing sheets, documents, graphs, databases, forms, minutes, and other patient-related business.
• Handles distribution duties, including mail, correspondence, and hospital-related documents or forms.
• Performs duplicating and faxing tasks efficiently and promptly.
• Organizes and files all patient care, departmental, and hospital documents in designated locations and provides orientation to staff as required. Maintains departmental records.
• Tracks attendance for the Nursing Services Department.
• Cross-trains and provides backup for various clerical roles among hospital staff. Ensures telephone coverage during lunch breaks and other short absences. Guarantees coverage of responsibilities among clerical staff during extended absences.
• Aids in the completion of medical records.
• Acts as staffing coordinator, managing absence and sick calls, and implementing staffing changes as directed. Ensures adequate staffing by utilizing all nursing personnel and agency resources when necessary.
Educational Qualifications: High School diploma or equivalent. Completion of a business college or secretarial training program is preferred.
Work Experience: No prior experience required; however, experience in healthcare and/or office settings is advantageous.
