Procurement Associate

Location: Remote/Office Hybrid

Employment Type: Full-Time

The Procurement Associate position is a newly created role within our procurement department as iFixit expands its operations. This entry-level role will concentrate on domestic vendors, particularly in the areas of hand tools, packaging materials, general supplies, and apparel. You will collaborate with our procurement team and liaise with various departments to fulfill their product and supply requirements.

This role offers a blend of remote and in-office work arrangements.

Key Responsibilities:

  • Utilize ERP systems and sales data to create purchase orders and manage receipts as necessary.
  • Develop and uphold an effective material replenishment strategy to prevent stock shortages while optimizing order quantities.
  • Ensure precise data entry in the ERP system, including costs, lead times, and supplier details for purchased goods.
  • Process order confirmations and track shipments, maintaining communication with suppliers regarding outstanding orders and delays.
  • Monitor estimated delivery dates and provide real-time updates to relevant stakeholders.
  • Coordinate logistics and collaborate with logistics partners to guarantee timely and cost-efficient deliveries.
  • Request and assess supplier quotes, providing recommendations and taking necessary actions.
  • Occasionally negotiate pricing on non-contracted items to achieve cost reductions.
  • Work with Accounts Payable to ensure prompt invoice payments and credit receipts.
  • Address discrepancies related to invoices and material receipts, ensuring accuracy in items, quality, quantity, pricing, and delivery timelines.
  • Proactively utilize forecasting techniques to mitigate potential negative impacts on business operations.
  • Communicate supply issues that may affect business functions and take steps to expedite resolutions.
  • Foster and maintain positive relationships with suppliers.
  • Assist with additional tasks as assigned by management.

Qualifications:

  • A High School diploma or equivalent is mandatory; a Bachelor's or Associate degree is preferred. APICS or Lean training and/or certification is a plus.
  • At least 1 year of experience in a Buying, Purchasing, or Procurement role is required. Experience with formal MRP systems is preferred, particularly with Microsoft Business Central.

Skills and Attributes:

  • Proficient in GSuite (Gmail, Sheets, Docs) and MS Excel.
  • Self-motivated with a focus on continuous improvement and meeting objectives.
  • Strong negotiation and influencing skills.
  • Ability to make timely decisions and take decisive actions.
  • Product knowledge in hand tools, packaging, and apparel is advantageous.
  • Exhibit professionalism in both verbal and written communication across all levels.
  • Detail-oriented with the capacity to manage a high volume of administrative tasks efficiently.
  • Commitment to excellence and maintaining high standards.
  • SQL query writing skills are a bonus.
  • Ability to work independently as well as collaboratively within a team.
