Job Summary

This is a responsible administrative position that directs the administrative operations of the building permit application process, ensuring accurate and efficient assistance is provided to the general public and the business community, in accordance with compliance of established State, County and City codes.

Key Responsibilities
  • Assist in the monitoring and tracking of applications through the streamline permitting system to improve agency responsiveness, technical assistance, and support.
  • Provide assistance to contractors, developers, and the public regarding procedures associated with building permits.
  • Receive and process various permits applications, reviewing for completeness and sufficient documentation and computing appropriate fees.
  • Answer inquiries and requests from the general public and business community, providing friendly, professional customer service skills, and ascertaining the needs of the customer and providing appropriate assistance and information.
  • Check and review a variety of data for accuracy, completeness, and conformance to established standards and procedures.
  • Check to ensure contractors are properly licensed, verifying data with appropriate State agency, and helping contractors fill out license applications.
  • Ability to schedule inspections.
  • Perform informational research for inclusion into reports and to ascertain background information on addresses, business entities, or other pertinent information.
  • Operate computer and other office automated equipment.
  • Maintain and file records related to issuance of permits.
  • Type forms, reports, memoranda, and letters.
  • Must effectively and positively represent the City in delivering and performing work with colleagues and clients, irrespective of gender, race, religion, age, disability, political affiliation, or sexual orientation.
  • Must establish and maintain effective and professional relationships with work colleagues, supervisors, and managers.
Requirements
  • High School Diploma or GED equivalent and two (2) years of clerical experience with considerable customer service experience.
  • Preferred: Experience providing clerical and customer service in a building permitting environment.
  • Notary Public Certification.
Knowledge, Skills, and Abilities
  • Considerable knowledge of the principles and practices of customer service.
  • Extensive knowledge of all the functions relevant to the processing and approval of building construction permits.
  • Knowledge of proper English, building terminology, spelling, and arithmetic.
  • Knowledge of the interrelationship between the Building Division and other City agencies involved in the permitting process.
  • Skill in the operation of modern office equipment.
  • Ability to access, operate, and maintain various software applications.
  • Ability to explain established laws, regulations, and procedures.
  • Ability to deal tactfully and effectively with the public.
  • Ability to type 35 WPM.
  • Ability to identify and analyze problems and develop solutions.
  • Ability to establish and maintain effective working relationships with fellow employees and the public.
