Job Title: Early Learning Center Administrative Assistant

The Early Learning Center Administrative Assistant plays a vital role in supporting the Child Development Department with various administrative duties. This position requires strong organizational skills, attention to detail, and excellent communication abilities.

Responsibilities:
  • Welcome on-site visitors and direct them to the appropriate staff or department.
  • Ensure the safety and security of the facility by screening visitors and monitoring the premises.
  • Perform daily tasks such as opening and closing the office, maintaining meeting rooms, and ensuring adequate office supplies.
  • Handle incoming phone calls and direct them to the relevant department or staff member.
  • Sort and route incoming and outgoing mail and faxes.
  • Provide accurate information to visitors and callers regarding the center's programs and services.
  • Take inventory and order supplies as needed.
  • Track physicals and immunizations for state/tuition-based families and follow up as required.
  • Support the Center Manager with various tasks and duties as assigned.
Requirements:
  • Proficient in Excel and Word.
  • 2 years of experience working as a direct service staff in a community-based organization.
  • Outstanding verbal and written communication skills.
  • 6 months of experience working with infants, toddlers, preschoolers, or young elementary children.
  • Bilingual in Spanish is required.
Physical Requirements:

The physical demands of this position include frequent walking, standing, and sitting, as well as the ability to lift and carry up to 25 pounds and in case of emergency, a 40-pound child.

This position requires a high school graduate with some college or related training preferred. The ability to procure an Associate Teacher permit within 18 months of hire is also required.
