The Therapy Operations Coordinator (TOC) is tasked with supporting the Center Therapy Director (CTD) and the therapy staff, enabling them to concentrate on delivering superior patient care.

The TOC is accountable for managing therapy referrals, scheduling patient appointments, aiding in patient registration and check-out processes, ordering supplies, ensuring the therapy department remains clean, and may assist with various medical back-office responsibilities as assigned.

This role guarantees that every patient receives high-quality clinical attention and enjoys a welcoming and respectful experience.


Key Responsibilities:
1. Secure timely authorizations from clients and/or insurance providers for therapy services as recommended by clinicians.


2. Utilize the electronic referral system to maintain comprehensive records for all active referrals, including tracking referral status and managing client/insurance/patient communications.


3. Process referrals using company resources to ensure compliance with state regulations and specific client instructions.

4. Collaborate with medical and therapy leadership to uphold our medical model concerning therapy referrals.

5. Report any denials or delays to leadership as necessary.

6. Ensure all authorized visits are scheduled according to clinician referrals without exceeding the authorized visit count or date range.

7. Reach out to patients who miss appointments and/or notify employers of missed appointments.

8. Document any cancellations or rescheduled appointments in the patient's electronic medical record (EMR) and work with the Center Operations Director (COD)/CTD to assess cases that may qualify for closure as inactive.

9. Handle clerical tasks in both front and back office settings related to patient care and accurate record-keeping.


10. Cross-train to perform front office duties, including welcoming patients, obtaining authorizations, check-in/out processes, communicating wait times, managing a multi-line phone system, and distributing employer results/paperwork.

11. Manage daily therapy supply inventory, sanitize treatment tables and equipment, wash and fold therapy linens, document equipment logs, conduct Human Performance Evaluations (HPEs), and assist in rooming patients for follow-up appointments.

12. Maintain therapy equipment, including but not limited to hydrocollators, freezers, and paraffin units, and complete corresponding maintenance logs as required (daily/weekly/monthly/etc.).

13. In partnership with center leadership, assist in managing patient flow and volume.

14. Keep patients informed of expected wait times throughout their visit.

15. Help maintain a tidy, clean, and organized facility.

16. Facilitate maintenance and necessary servicing of all therapy equipment.

17. Adhere to HIPAA guidelines and safety protocols.

18. Complete reports/logs as assigned by center leadership.

19. Attend center staff meetings or huddles as required.

20. Participate in initial and ongoing training as necessary.

21. May also perform various back-office tasks, including urine drug screens and breath alcohol tests.

Qualifications:

Education Level:
High School Diploma or GED

Job-Related Experience

Typically requires at least six months of experience in referral management.

Previous experience in a medical office setting is preferred.

Familiarity with state-specific occupational medicine regulations is preferred.

This position is eligible for a base compensation rate within the state range of $17.95 to $24.44 hourly, depending on job-related factors such as experience level, geographic location, and/or seniority.
