Job Summary

This part-time position operates in a professional office environment on the Queens campus, supporting the Department of Core Studies. As a key member of the team, you will assist in implementing high-impact practices for undergraduate students through field-based experiential learning connected with First Year Seminar. This role involves working closely with faculty and cultural institutions in the New York City area to provide hands-on learning experiences.

Duties and Responsibilities
  • Maintain professional relationships with the university community, including faculty, administrators, staff, and students.
  • Assist department leadership in ensuring field-based learning requests align with curriculum goals.
  • Coordinate logistics for approximately 180 field-based learning excursions per semester, maintaining relationships with cultural institutions.
  • Oversee field-based learning events, including arrangements with speakers, ticket acquisition, transportation booking, room reservations, and similar activities.
  • Manage invoices and receipts for prompt payments to cultural institutions as needed.
  • Direct and approve timecards for peer leader coordinators and peer leaders biweekly.
  • Serve as weekend 'on-call' support in case of escalated issues.
  • Guide communication of event details to faculty, including detailed itineraries.
  • Supervise the assignment of Peer Leaders on field-based learning excursions.
  • Troubleshoot issues as needed on weekends.
Budget and Resource Management
  • Oversee budget, track expenditures, process payments and purchase orders, and manage office P-card expenses.
  • Maintain detailed expense records and create financial reports.
  • Forecast budget per student based on enrollment.
  • Communicate budget per student to department leadership and First Year Seminar faculty.

Work Environment and Salary

This part-time, in-person position requires working on Wednesdays when classes are in session. University days and hours are Monday through Friday, 8:30 a.m. to 4:30 p.m., with some limited weekend availability. The estimated hourly salary for this position is $20 per hour.
