Job Summary

This role is the face of Commonwealth Pain and Spine, serving as the first point of contact for patients. The Front Office Assistant is responsible for providing exceptional customer service, ensuring a positive experience for patients and families.

Key Responsibilities
  • Greets and checks patients in, updating appointment status and ensuring accurate records.
  • Assists patients with completion of intake forms, inspecting for completeness and accuracy.
  • Calls patients with appointment reminders and reschedules as needed, maintaining effective communication.
  • Answers all telephone calls promptly, providing warm and professional responses.
  • Establishes and maintains positive relationships with referral sources, fostering a collaborative environment.
  • Checks patients out, schedules re-evaluation visits, and presents appointment cards, ensuring seamless transitions.
  • Enters all pertinent patient information and notes into the Electronic Medical Record (EMR), maintaining accurate and up-to-date records.
  • Scans all applicable patient paperwork, ensuring efficient and secure documentation.
Requirements
  • Exceptional customer service skills, with a focus on empathy and understanding.
  • Knowledge of current basic medical terminology, coding, eligibility, and office procedures.
  • Strong computer and phone skills, with proficiency in EMR systems.
  • Ability to establish and maintain effective working relationships with staff, co-workers, adjusters, employers, case managers, and patients.
  • Ability to effectively present information, respond to questions, and professionally interact with physicians, office managers, employees, insurance adjusters, case managers, employers, patients, and the general public.
  • Ability to handle multiple, simultaneous tasks effectively and efficiently, while maintaining a professional and courteous manner.
  • Exhibit understanding of healthcare regulatory and compliance policy, including HIPAA.
  • High integrity, including maintenance of confidential information.
  • Ability to exercise good judgment and positively influence others, including handling confrontations with poise and efficiency.
  • Regular and reliable attendance.
