The Senior Executive Coordinator will be instrumental in facilitating the seamless operation of the executive office at The Rallye Group. The ideal candidate will possess a solid history of supporting multiple C-Level executives, showcasing outstanding organizational skills and advanced proficiency in spreadsheet management. This position requires a high degree of confidentiality, efficiency, and the capability to excel in a dynamic, multi-location luxury automotive dealership environment.

Compensation Range: $65,000 - $85,800

Key Responsibilities:

  • Administrative Support:
    • Oversee executive calendars, appointments, and travel logistics.
    • Serve as the primary liaison between executives and both internal and external stakeholders.
    • Manage confidential and sensitive information with the highest level of discretion.
    • Perform minor financial tasks, including expense reporting and event budget oversight.
    • Maintain comprehensive and precise records.
  • Communication:
    • Draft, proofread, and edit executive correspondence and reports.
    • Enhance communication within the executive team and across various departments.
    • Foster relationships with visitors, vendors, clients, and employees to understand their roles and purposes within the organization.
  • Meeting Coordination:
    • Organize meetings, including scheduling, sending reminders, and arranging catering as needed.
    • Attend meetings, accurately record minutes, and follow up on action items.
  • Data Management:
    • Utilize advanced spreadsheet skills to analyze and present data for executive decision-making.
    • Maintain and update critical databases, ensuring accuracy and completeness.
  • Project Assistance:
    • Assist executives with various projects, coordinating tasks and timelines.
    • Conduct research and compile information to support strategic initiatives.
  • Event Planning:
    • Support the planning and coordination of corporate events, client meetings, and special projects.
Qualifications:
  • Experience: A minimum of 3 years in a personal assistant or executive coordinator role supporting multiple C-Level executives, ideally within a luxury automotive or high-end retail context.
  • Education: High school diploma required; at least two years of college preferred.
  • Valid driver's license.
  • Advanced proficiency in Microsoft Office Suite and/or Google Workplace for creating and editing spreadsheets, presentations, etc.
  • Knowledge of Windows and Apple devices.
  • Able to thrive in a fast-paced environment with numerous moving parts.
  • Exceptional organizational and multitasking capabilities.
  • Strong verbal and written communication skills.
  • High attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise discretion.
  • Familiarity with office equipment and technology.
