The Senior Executive Coordinator will be instrumental in facilitating the seamless operation of the executive office at The Rallye Group. The ideal candidate will possess a solid history of supporting multiple C-Level executives, showcasing outstanding organizational skills and advanced proficiency in spreadsheet management. This position requires a high degree of confidentiality, efficiency, and the capability to excel in a dynamic, multi-location luxury automotive dealership environment.
Compensation Range: $65,000 - $85,800
Key Responsibilities:
- Administrative Support:
- Oversee executive calendars, appointments, and travel logistics.
- Serve as the primary liaison between executives and both internal and external stakeholders.
- Manage confidential and sensitive information with the highest level of discretion.
- Perform minor financial tasks, including expense reporting and event budget oversight.
- Maintain comprehensive and precise records.
- Communication:
- Draft, proofread, and edit executive correspondence and reports.
- Enhance communication within the executive team and across various departments.
- Foster relationships with visitors, vendors, clients, and employees to understand their roles and purposes within the organization.
- Meeting Coordination:
- Organize meetings, including scheduling, sending reminders, and arranging catering as needed.
- Attend meetings, accurately record minutes, and follow up on action items.
- Data Management:
- Utilize advanced spreadsheet skills to analyze and present data for executive decision-making.
- Maintain and update critical databases, ensuring accuracy and completeness.
- Project Assistance:
- Assist executives with various projects, coordinating tasks and timelines.
- Conduct research and compile information to support strategic initiatives.
- Event Planning:
- Support the planning and coordination of corporate events, client meetings, and special projects.
- Experience: A minimum of 3 years in a personal assistant or executive coordinator role supporting multiple C-Level executives, ideally within a luxury automotive or high-end retail context.
- Education: High school diploma required; at least two years of college preferred.
- Valid driver's license.
- Advanced proficiency in Microsoft Office Suite and/or Google Workplace for creating and editing spreadsheets, presentations, etc.
- Knowledge of Windows and Apple devices.
- Able to thrive in a fast-paced environment with numerous moving parts.
- Exceptional organizational and multitasking capabilities.
- Strong verbal and written communication skills.
- High attention to detail and accuracy.
- Ability to maintain confidentiality and exercise discretion.
- Familiarity with office equipment and technology.
