Job Overview


The Operations Supervisor is primarily tasked with overseeing the daily activities of the facility, ensuring that all performance metrics and objectives are achieved to deliver a supportive and welcoming experience for all members.

The Operations Supervisor will assist in the recruitment, training, and management of staff, fostering a positive and motivational environment with a continuous emphasis on employee growth and development.

This role is also accountable for maintaining the financial health of the facility. Regular oversight of all front desk operations is expected.

Key Responsibilities

Staff Management Duties:
Support the Facility Manager in developing staff schedules to ensure all shifts are adequately filled.


Lead by example and maintain consistent accountability for team members by providing training and coaching to deliver outstanding customer service.

Guide the team through operational processes to achieve shared objectives.

Assist in the timely preparation of all HR-related documentation.

Collaborate with the Facility Manager to address employee concerns professionally.

Support the Facility Manager in disciplinary actions and terminations.

Provide coverage for absent employees as needed.

Safeguard the integrity and confidentiality of employee records and sensitive company information.

Act as a brand ambassador by promoting a supportive lifestyle.


Responsible for aiding the Facility Manager in the training and development of staff, including daily coaching.

Assist in the recruitment, onboarding, and training processes.

Customer Service / Front Desk Responsibilities:
Welcome members and guests, delivering exceptional service that makes them feel valued and at ease.

Answer phone calls courteously and assist callers professionally.

Conduct facility tours, enroll new members, log amenities, and communicate updates and events to members and guests.

Address member inquiries and concerns promptly and professionally.

Process beverage or merchandise transactions using the POS system.

Assist in emergency medical situations as required.

Enforce facility rules and policies.

Maintain cleanliness of tanning beds, acrylics, and vents on a weekly basis.

Monitor and manage inventory on a weekly basis.

Generate necessary reports daily.

Lead by example and uphold consistent accountability.

Communicate effectively and clearly among all team members.

Member Account Management:
Utilize management software to assist with updating member information, including barcodes and billing inquiries.

Submit refund requests accurately.

Create new memberships as needed.

Ensure the integrity and confidentiality of member documents and sensitive information at all times.

Facility Cleanliness and Maintenance:
Keep the front desk area and lobby organized and clean.

Perform regular cleaning and maintenance of the facility.

Ensure equipment and tanning units are cleaned regularly.

Maintain restrooms to be clean, stocked, and free of clutter by adhering to a cleaning schedule.

Accurately complete daily and weekly cleaning tasks.

Oversee the safety of employees, members, and the facility. Report maintenance needs to the appropriate personnel promptly.

Additional Responsibilities:
Manage the ordering of facility supplies within a designated budget.

Track key performance indicators such as visitor counts and cancellations.

Coordinate marketing initiatives by ensuring staff are informed and trained on all promotions.

Participate in the evaluation of recorded inquiries.

Engage in professional development opportunities actively.

Collaborate effectively with team members and senior management.

Qualifications/Skills:
Preferred one year of experience in customer service.

High school diploma or GED equivalent required.

Must be at least 18 years old.

CPR certification is mandatory.

Strong problem-solving abilities.

Exceptional leadership and interpersonal skills.

Flexibility to travel occasionally for training and support of other locations may be required.

This position may involve overtime, weekends, evenings, and holidays. Flexibility is essential.

Physical Requirements:
Frequent standing and walking during shifts.

Regular communication in person or over the phone.

Ability to lift up to 75 pounds.

Frequent climbing, balancing, kneeling, crouching, pulling, and grasping.

Employees must avoid placing themselves under any equipment.
