We are currently in search of a Legal Support Specialist with a minimum of 3 years of prior experience in Insurance Defense, particularly in the realms of medical malpractice and healthcare defense.

Key Responsibilities

  • Manage attorneys' schedules, ensuring that all deadlines and appointments are accurately recorded and adhered to. This includes organizing depositions, meetings, inspections, hearings, and maintaining the appointment calendars for the assigned team of attorneys.
  • Assist attorneys in the preparation, proofreading, redaction, and editing of various legal documents and contracts, ensuring accuracy in spelling, grammar, punctuation, format, and content.
  • Oversee billing processes for assigned attorneys, including time entry, pre-bills, and invoicing, while ensuring adherence to client billing guidelines.
  • Process incoming invoices from vendors, experts, and other third parties for services rendered on behalf of our clients.
  • Submit New Case Assignments, conduct Conflict Checks, and manage updates related to matters. Prepare and submit files for closure.
  • Respond to telephone inquiries and routine questions from clients and team members, directing calls to the appropriate staff as necessary.
  • Assist in organizing client materials and attorney work products efficiently.
  • Handle court filings and submissions through the Florida E-Filing Portal, E-Courtesy, E-Service, JAWS, CM/ECF, and manage submissions to opposing counsel.
  • Utilize Case Glide, Acuity, Legal Tracker, and other litigation management systems to keep clients updated.
  • Demonstrate proficiency in all necessary Firm software and tools.
  • Perform administrative tasks such as managing client files, general correspondence, expense reports, CLE tracking, and check requests.
