Mission-Driven Operations Coordinator

We are seeking a highly skilled and mission-driven Operations Coordinator to join our team at Wishes & More. This role will be responsible for providing exceptional support in office administration and technology management, ensuring the smooth operation of our organization.
Key Responsibilities- CRRM Management:
- Administer Salesforce CRM system, create and provide reports, manage data migration, and troubleshoot issues.
- Maintain proper CRM usage, research improvements, and lead recommendations as necessary.
- Create processes and procedures for staff to follow.
- Office Administration:
- Create a welcoming environment with adequate resources and a clear focus on our mission.
- Welcome visitors, direct phone calls, handle mail distribution, and inventory management.
- Monitor and maintain storage areas, supplies, and materials inventories.
- Maintain policies and procedures, recommend improvements as needed.
- Identify areas for improvement and implement solutions to enhance productivity.
- Liaise with vendors for payroll/HR, technology, marketing, insurance brokers, and other external partners.
- E nsure donor information confidentiality and accuracy within a small, tight-knit team.
- Assist the Executive Director with HR processes and implementations.
- Additional Duties:
- Maintain and troubleshoot office equipment and IT issues, collaborating with outside vendors when necessary.
- Support communication processes, including mailing list creation and maintenance.
- Serve as a backup to the bookkeeper and provide information for reports, fundraising proposals, audits, and nonprofit evaluations.
- Process financial transactions, including incoming checks, electronic deposits, outgoing bills, reimbursements, and check cutting.
- Prepare and send donor thank-you letters, gift receipts, and acknowledgments.
- Attend and assist with occasional fundraising events, committee meetings, and board meetings.
- Support strategic communications projects, managing outreach lists and handling inquiries.
- Supervise interns and volunteers as required.
- Board of Directors Administration:
- Support board and committee administration, maintaining files, calendars, handbooks, and distribution lists.
- Provide meeting support, including scheduling, preparing materials, and coordinating hospitality needs.
