Job Overview

Responsible for performing essential administrative and reception tasks that support the delivery of patient care, while following directives from healthcare professionals.

Key Responsibilities

A. Clinical/Technical/Service Duties
  1. Conducts administrative and reception tasks critical to patient care operations, following guidance from physicians and nursing staff.
  2. Ensures accurate patient identification on all medical records, documents, and requisitions.
  3. Maintains current patient rosters and staff assignments in the electronic health record system, ensuring timely updates.
  4. Implements a tracking system for monitoring patient locations within the unit.
  5. Assigns registered nurses in the scheduling system as necessary.
  6. Manages the Unit Staff Schedule for the shift, documenting breaks, coverage, and admissions.
  7. Coordinates patient appointments, treatments, and diagnostic procedures with relevant departments.
  8. Maintains organized bulletin boards, ensuring timely posting and removal of information.
  9. Ensures the nurses' station is tidy and organized.
  10. Oversees the upkeep of patient charts, removing unnecessary pages and storing them appropriately.
  11. Files laboratory and test results into patient charts, including digital printouts.
  12. Reviews patient charts daily for completeness and accuracy.
  13. Handles various tasks related to patient admissions, discharges, deaths, and transfers in a timely manner.
  14. Facilitates patient flow by expediting discharge processes and coordinating with nursing staff for admissions and discharges.
  15. Acts as a liaison for communication among the healthcare team.
  16. Prepares medical charts and admission tags.
  17. Requests prior medical records for readmitted patients.
  18. Communicates relevant information regarding admissions, transfers, or discharges to other departments.
  19. Welcomes new admissions, introducing self and orienting patients to the facility.
  20. Participates in safety initiatives to ensure patient identification and minimize harm.
  21. Maintains an accurate record of all patients who are discharged, deceased, or transferred.
  22. Assists in maintaining adequate levels of supplies and equipment.
  23. Demonstrates the necessary knowledge and skills to provide care based on physical, psychosocial, educational, and safety criteria relevant to the patient population served.

B. Organizational/Managerial Responsibilities
  1. Engages in departmental performance improvement initiatives by actively collecting and logging required data.
  2. Maintains confidentiality regarding patient and employee information.
C. Educational/Professional Development
  1. Contributes to the development of fellow staff members.
  2. Meets all regulatory, licensure, and annual health assessment requirements.
D. Communication and Interpersonal Skills
  1. Exhibits a professional, courteous, and respectful demeanor when interacting with patients, families, and colleagues.
  2. Demonstrates courtesy, patience, and tact in all communications with hospital staff and the community.
  3. Performs various receptionist duties with sensitivity and professionalism.
  4. Handles phone calls, providing information and directing inquiries as needed.
  5. Receives and relays messages accurately.
  6. Responds to patient intercom calls and refers requests to the appropriate personnel.
  7. Welcomes visitors and provides necessary directions and non-medical information.
  8. Maintains positive communication with patients, visitors, and staff members.
  9. Adheres to the legal and ethical standards of the organization.
  10. May be assigned additional duties as required.

Qualifications
  • High School Diploma or equivalent.
  • Demonstrated satisfactory job performance from previous employers and positive references.
  • Basic computer skills to support the nursing unit/service.
