Administrative Assistant for Real Estate Team

Vida Real Estate seeks an exceptional Real Estate Assistant to join our team. As a key member of our team, you will play a vital role in facilitating smooth transactions, building strong client relationships, and providing administrative support.
This role requires a unique blend of technical skills, business acumen, and exceptional communication abilities.
Key Responsibilities:- Transaction Management: Coordinate transactions from start to finish, ensuring timely completion and minimal disruptions.
- Client Communication: Maintain regular communication with clients, agents, and other stakeholders to keep them informed about the progress of transactions.
- Listing and Showing Coordination: Manage listing and showing appointments, ensuring seamless execution and optimal team productivity.
- CRM System Maintenance: Input client information and track deal progress to maintain accurate records and prevent errors.
- Marketing Collaboration: Work closely with marketing teams to develop and execute effective marketing strategies for listings.
- Document Preparation: Prepare and process contracts, disclosures, and other transactional documents with precision and accuracy.
- Vendor Coordination: Collaborate with vendors and service providers to ensure smooth service delivery.
- Closing Management: Schedule and manage closing dates, preparing closing gifts and documents for final handoff to clients.
- Weekly Updates: Provide regular listing updates to clients and internal team members.
- Relevant experience in real estate or a similar administrative support role.
- A valid real estate license.
- Excellent organizational and time management skills.
- Superb communication and interpersonal skills.
- Attention to detail and ability to anticipate challenges.
- Proficiency in MLS systems, real estate software, and CRM tools is a plus.
- Ability to work effectively in a fast-paced environment.
- A high school diploma or equivalent is required.
- 2+ years of experience in a personal assistant or executive assistant role.
- Experience using Microsoft Office.
- Confidentiality and adherence to tight deadlines.
