Job Overview:

  • Welcome and engage customers with a warm and friendly demeanor.
  • Determine the service consultant or sales manager with whom the customer has scheduled an appointment.
  • Label vehicles with identification numbers to ensure proper service representative assignment.
  • Retrieve or create a repair order for each customer, completing the necessary administrative tasks.
  • Handle incoming phone calls as needed.
  • Assist the service sales team in reaching out to customers one day before their scheduled appointments.
  • Perform various clerical duties as directed by service management.
  • Respond to all incoming calls in accordance with company standards and professional telephone etiquette.
  • Direct calls to the appropriate personnel as required.
  • Take written messages for staff members who are currently occupied and ensure timely notification regarding pending messages.
  • Support the service sales team in contacting customers whose vehicles are ready for pickup.
  • Make copies of relevant production scheduling documents at designated times to aid in directing calls to the correct service representatives.
  • Execute various clerical tasks as assigned by management.

Qualifications:

  • Stay informed about new products and updates.
  • Maintain a professional appearance and conduct at all times, including in workspaces.
  • Adhere to all attendance policies.
  • Report any situations that may threaten the safety, welfare, or integrity of the dealership, its clients, or employees to management.
  • Exhibit courtesy and helpfulness to all customers, seeking immediate assistance for any issues requiring service management intervention.

Education / Skills Experience:

  • Possess excellent communication skills, including the ability to effectively interact in person, over the phone, and in writing, along with strong interpersonal and customer service abilities.
  • Demonstrate the capability to meet deadlines, prioritize tasks, and manage multiple responsibilities in a fast-paced environment.
  • Participate in relevant training programs as necessary.
  • Exhibit attention to detail and strong organizational skills.
