The Operations Specialist will report directly to the Operations Supervisor and work closely with the Development Coordinator and Resettlement Manager.

This position is accountable for the collection, management, and distribution of in-kind resources to refugee and immigrant populations resettled by the IRC, along with other eligible clients.

Key Responsibilities:

* Oversee the on- and off-site storage of household goods and personal belongings designated for distribution to IRC clients. Ensure items are labeled, organized, and tracked, and that storage facilities are secure, clean, and well-maintained. Conduct physical inventory counts as necessary, documenting timely and accurate data within IRC's data management systems.
* Ensure that all relevant IRC personnel receive the necessary training, materials, and support to effectively utilize the Integra system.
* Coordinate daily operations of donation storage areas by organizing and supporting the distribution of in-kind goods. Implement correct stacking and turnover procedures (FIFO or FEFO) and collaborate with colleagues and community members to safely load, unload, and distribute goods in strict adherence to IRC and donor requirements.
* Maintain accurate recordkeeping to account for and track incoming and outgoing inventory by preparing forms and keeping thorough records within IRC's data management systems. Provide up-to-date digital and physical inventory records for regular reporting purposes.
* Assist in procurement efforts by managing supply lists and tracking market prices. Communicate inventory-related needs to the management team.
* Order supplies and equipment in accordance with supply chain and financial compliance guidelines, coordinating servicing and repairs as necessary.
* Manage and maintain both digital and physical files.
* Support office inventory needs, including cash-in-kind (CIK), through daily storage, tracking, and reporting.
* Assist with vendor billing and invoices in collaboration with the Finance team.
* Utilize personal, insured vehicles, IRC vehicles, and/or public transportation (when available) to travel and transport materials as required throughout the service delivery area.
* May train and lead the activities of volunteers, interns, and staff.
* Serve as back-up to Front Desk Reception, covering staff lunch hours and as needed.
* Perform other duties as assigned.

Job Requirements:

Work Experience:
* Undergraduate degree or a combination of related education and experience may be considered.
* 2+ years of relevant experience, preferably in a non-profit or social services environment.
* Strong relationship-building, diplomacy, and networking skills; ability to effectively cultivate internal and external relationships.
* Proven success in working and communicating effectively in a multicultural environment.
* Self-motivated with excellent problem-solving abilities and a demonstrated capacity to prioritize and manage time effectively.
* Attention to detail and accuracy in work products.
* Proficient in English, both spoken and written; proficiency in languages spoken by client groups is preferred.
* Proficient in Microsoft Office applications (Word, Excel, Outlook); capable of using the internet and other digital tools for data entry, research, and problem-solving.
* Ability to safely lift 35+ lbs.
* Valid driver's license: current insurance and access to a reliable vehicle, with a willingness to use it for job duties.

Working Environment:
* A mix of standard office settings, remote work, and field time within the service delivery area to fulfill the outlined responsibilities.
* May require occasional weekend and/or evening work.
