As an Executive Support Specialist, you'll play a critical role in supporting our client group(s) and ensuring the smooth operation of our business. This includes providing administrative support, managing expense reports and invoices, and maintaining vendor relationships.

Your Key Responsibilities
  • Expense Management (30%): Assist clients in establishing Concur and AMEX accounts, provide first-level approval for expense reports, and serve as a subject matter expert on expense training and travel policy.
  • Client Support (45%): Schedule department meetings and conference room requests, handle calendar for senior level employees, procure and maintain record of office supplies, assist anchor talent, work discreetly with talent and outside visitors/guests, manage staff schedules, time absence and timesheet approvals, and assist with catering orders.
  • Staff On-boarding/Off-boarding (25%): Prep workstation/office for new hires, coordinate training schedule with hiring manager, anticipate needs regarding equipment, desk supplies, communication, provide introduction to bureau policies, train new staff on system applications and procedures as needed.
