Position Summary

Reports to: Executive Director

Status: Non-Exempt; 35-hour work week may include evenings and weekends

The Compliance Coordinator plays a crucial role in supporting the operational functions of GREATER PHILADELPHIA URBAN AFFAIRS, focusing on financial management, regulatory adherence, and quality assurance. This position is responsible for developing and implementing processes that ensure timely financial transactions, compliance with government regulations, and maintaining high standards of service delivery.

Key Responsibilities:

  • Build and maintain effective relationships with staff, management, and key stakeholders.
  • Uphold a positive image of all organizational programs in communications with external partners.
  • Exemplify high ethical standards and professionalism in all interactions.

Administrative Duties:

  • Engage in regular supervision and team meetings.
  • Participate in all required organizational meetings and training sessions.
  • Collect and analyze data as assigned.
  • Conduct program audits and quality assurance evaluations.
  • Oversee office safety protocols and compliance audits.
  • Manage inventory of office supplies and procure as necessary.
  • Perform additional duties as assigned.

Financial Management Responsibilities:

  • Input financial transactions into accounting software, ensuring accurate coding.
  • Monitor accounts payable and receivable, maintaining precise financial records.
  • Manage vendor communications and resolve any invoice-related issues.
  • Reconcile monthly credit card statements within the accounting system.
  • Act as the primary contact for accounts payable inquiries.
  • Assist with Medicaid billing processes as required.

Electronic Health Record (EHR) Management:

  • Serve as the EHR Super-user, facilitating optimal system usage.
  • Provide support and training to staff regarding EHR functionalities.
  • Collaborate with EHR vendors to address system-related concerns.
  • Document all services and activities in accordance with agency policies.

Qualifications:

  • Minimum of two years' experience in bookkeeping or accounts payable.
  • Proficient in accounting software and electronic healthcare records.
  • Strong analytical, written, and verbal communication skills.
  • Ability to manage time effectively and maintain organizational standards.
  • Commitment to the mission of supporting families and community engagement.
