Candidate must have a strong background in administrative support and case management to provide assistance to the Family Services Specialist at Crystal Stairs, Inc.
Key Responsibilities- Create and maintain accurate and up-to-date records for parents and providers, including filing required documentation.
- Review and verify the completeness of documentation provided by parents and providers.
- Prepare and distribute forms, notices, and correspondence related to missing documentation and other administrative tasks.
- Enter client information into the GEARS database and other internal systems.
- Make follow-up phone calls to providers regarding terminated parents and ensure timely communication.
- Coordinate appointments for new enrollments and recertifications, and follow up on rescheduled appointments and no-shows.
- Process interagency transfers and maintain the private agency waiting list.
- Verify qualifying need, residence, and child care needs within the service area.
- Sort and distribute incoming mail and serve as backup for monthly claim processing as needed.
- High School diploma required; Associate of Arts degree in the Social Sciences field preferred.
- Minimum 1 year experience working with parents receiving subsidized child care or social support services, with a minimum one year of experience in an administrative or clerical support position.
- Requires knowledge and competency on GEARS and other database applications.
- Excellent problem-solving skills and ability to handle challenging customer calls or requests.
- Strong attention to detail and ability to work with a diverse range of individuals, groups, and management levels.
- Excellent verbal and written communication skills.
- Ability to work in a fast-paced environment and manage multiple tasks and priorities.
