Job Overview

We are seeking a Legal Billing Specialist to join our team. This role is essential for managing financial transactions and ensuring accurate billing processes.

The ideal candidate will possess experience with IOLTA trust and will work in a fully remote capacity. Your responsibilities will include communicating with clients regarding their payments, generating invoices, and handling credit memos.

As a billing specialist, you will be responsible for maintaining accurate accounting records, updating customer information, and assisting the finance department in preparing financial statements. A successful candidate will exhibit strong organizational skills and the ability to manage multiple tasks efficiently while addressing client inquiries professionally.

Key Responsibilities:

  • Generating and distributing invoices to clients.
  • Processing and managing credit memos.
  • Preparing detailed account statements for clients.
  • Following up on overdue payments and responding to client questions.
  • Tracking all payments and compiling monthly billing reports.
  • Managing account balances and resolving discrepancies.
  • Supporting the finance team in the preparation of financial reports.
  • Updating financial records with issued invoices, received payments, and client contact details.

Position Structure:

  • This position is remote and available exclusively to residents of the United States.
  • The initial months may require significant hours, transitioning to a part-time role as the company continues to grow.
  • Work hours should primarily fall within standard business hours (8 AM - 6 PM PST, Monday to Friday), with some flexibility for evening or weekend work.
  • Reliable internet access is essential, as the role involves using platforms such as Practice Panther, Basecamp, Google Drive, and Lawmatics.
  • A webcam and headset are required for client and team communications via Ring Central.

Qualifications:

  • High school diploma or GED.
  • Prior experience in billing or a related position.
  • Familiarity with accounting software, particularly Quickbooks.
  • Understanding of accounting principles and relevant legal standards.
  • Excellent communication, organizational, and time-management abilities.
  • Capacity to work effectively under pressure.
  • Proficiency in Microsoft Office.
  • Strong mathematical skills.
  • Meticulous attention to detail.
