Administrative Coordinator

We are seeking a highly skilled and organized Administrative Assistant to provide key coordination and administrative support to our Innovation & Development (I&D) executives and team members. The successful candidate will be responsible for providing day-to-day operations support, including administrating key departmental activities, meeting organization, expense reimbursement processing, invoice processing, travel planning, and compiling and distributing various time and spending reports.
Key Responsibilities- Support the I&D leadership team in planning, scheduling, and administering key departmental activities on a global basis.
- Prepare meeting materials, including PowerPoint presentations, scheduling conference calls and web-based meetings.
- Take notes at meetings and distribute minutes.
- Organize town-halls, major events, and other meetings.
- Work closely with senior I&D executives on their strategic initiatives as needed.
- Prepare reports monthly, utilizing Microsoft Excel skills to perform analytics.
- Follow up on action items, including interaction with internal staff and external vendors.
- Maintain an archive of critical documents in SharePoint sites.
- Process invoices through Sealed Air's SAP system.
- Enter Purchase Order Requests in Coupa and SAP system and replenish supplies.
- Minimum of 5 years of experience in Administrative or Executive Assistant roles, supporting executives in mid to large-sized corporate environments.
- Associate or Technical degree and/or commensurate technical skills acquired in relevant jobs.
- Strong computer aptitude, including MS Office, etc. (Word, PowerPoint, and Excel).
- Excellent verbal, written, and interpersonal communication skills.
- Experience supporting up to 10 managers/supervisors, including managing calendars.
- Able to work well independently and in a cross-functional team environment.
- Ability to organize, manage, and prioritize work for a demanding, fast-paced operating division.
- Detail-oriented, with a "big picture" proactive approach to work, anticipating needs of the department and leadership staff, and prioritizing accordingly.
- Flexibility regarding changing priorities and deadlines.
- Able to maintain a high level of confidentiality.
- Demonstrated commitment to enterprise goals and priorities.
- Ability to manage multiple tasks with proven follow-through and adherence to schedules.
