Status: Temporary, Part Time Hourly
FLSA Classification: Non-Exempt

We are seeking a detail-oriented and organized temporary Document Management Specialist to assist with file organization, maintenance, and storage for our office. The successful candidate will be responsible for structuring files in accordance with our established filing system and digitizing essential documents as required. You will ensure the protection and accessibility of files for your colleagues while maintaining a high level of confidentiality and data security.

Key Responsibilities:
  • Upload and manage digital files and data.
  • Organize and maintain records and documents efficiently.
  • Create or update records with new files and relevant information.
  • Utilize both alphabetical and numerical systems for organizing paper and electronic records.
  • Establish new files and provide necessary information on forms and reports.
  • Scan paper documents, ensuring clarity and legibility of scanned files.
  • Dispose of documents as needed, adhering to official policies and procedures.
  • Operate various office equipment effectively.
  • Identify opportunities to enhance filing systems and design templates for data entry.
  • Collaborate with external storage vendors to ensure secure archiving of documents.
  • Adhere to policies that safeguard the privacy of documents.
Qualifications:
  • High school diploma or GED with a minimum of 2 years of relevant experience.
  • Demonstrated experience as a file clerk or in a similar role.
  • Proficient in MS Office and familiar with office equipment such as photocopiers and scanners.
  • Strong command of English, both written and verbal.
  • Dependable with a strong commitment to confidentiality and adherence to policies.
  • Exceptional organizational and time management skills.
  • Meticulous attention to detail.
  • Knowledge of off-site storage procedures is a plus.
  • Ability to lift boxes weighing up to 30 pounds.
