Job Summary

We are seeking a highly skilled Proposal Coordinator to join our team at Environmental Design Group. As a key member of our business development team, you will play a critical role in driving our growth and success through the development and strategic planning of all aspects of the RFP/RFQ/RFI process.

Key Responsibilities
  • Develop and manage RFP/RFQ/RFI responses, collaborating with subject matter experts to create compelling visual presentations that support our business development and marketing efforts.
  • Organize and manage content creation, version control, and packaging of RFP/RFQ/RFI responses for review committees.
  • Stay up-to-date with RFP/RFQ standards and proactively identify changes to language, positioning, and graphics to ensure consistency and effectiveness.
  • Manage client deliverables from go/no-go decisions to creating, writing, and maintaining various documents, including SOQs, RFPs, RFQs, LOIs, and project portfolios.
  • Participate in business development meetings, client service meetings, proposal debrief meetings, and other relevant discussions.
  • Manage and maintain our corporate Customer Relationship Management tool (Cosential) for proposal templates, resumes, projects, and data related to proposal production.
  • Collaborate in the management of the ODOT programmatic pursuit process.
  • Develop and maintain writing, editing, graphic design, and corporate branding consistency in deliverables.
  • Compile marketing and business development metrics to measure ROI and support strategic initiatives.
  • Adhere to our QA/QC Performance Standards.
  • Attend networking events, trade shows, and technical conferences for professional development opportunities.
  • Assist in coordinating marketing events, seminars, tradeshows, and special event campaigns.
  • Work with the marketing team to develop and improve overall brand strength, consistency, and presence.
  • Design storyboards and build engaging presentations that align with our EDG brand and strategic plans.
  • Collaborate with technical staff to develop custom materials for business development opportunities, presentations, technical reports, and other activities.
  • Support all marketing communications efforts as needed.
Requirements
  • Bachelor's degree in graphic design, marketing, communications, public administration, business, journalism, or a related field.
  • 5-7 years of relevant experience.
  • Proficiency in MS Office (Outlook, Excel, Word) and Adobe Creative Suite (InDesign, Photoshop, and Illustrator). Experience with Adobe Premier Pro is a plus.
  • Experience and/or working knowledge of the architecture, engineering, and construction industry is a plus.
  • Understanding of social media outlets in a business medium, including Facebook, Twitter, LinkedIn, YouTube, and Instagram.
  • Exhibited experience in graphic design, page layout and formatting, and editing/proofreading.
  • High-level writing, editing, and communication skills with the ability to address technical details in a clear, concise, and compelling manner.
  • Impeccable attention to detail with strong project and time management skills, with the ability to work on multiple projects simultaneously and prioritize responsibilities in a deadline-driven, team-oriented environment.
  • Keen attention to detail ensuring all graphic elements are in-line with branding guidelines.
  • Ability to take constructive criticism and collaborate with various departments.
  • Self-starter, with the ability to think creatively to solve problems and finish proposals on time.
  • Ambassador of the brand – ensuring all design elements are in-line with branding guidelines.
  • Ability to coordinate multiple deadline-driven tasks.
  • Ability to use all available resources to strategize and problem-solve.
  • Must be able to work within a PC-based platform.
  • Self-motivated, with the ability to work with little supervision.
  • Demonstrate supervisory skills as opportunities arise in projects, employee engagement events, and other work-related activities.

This is a full-time position with typical work hours of 8:00 a.m. – 5:00 p.m., Monday through Friday. Occasional evening or weekend work may be required as job duties demand. Work-from-home flexibility is available.

Travel is primarily local during the business day. A valid driver's license and a driving record that will enable the employee to be insurable under the Company's standard vehicle insurance and general comprehensive liability insurance without additional costs to the Company are required.
