POSITION OVERVIEW:

PRIMARY RESPONSIBILITIES:

  • **Employee Management:** Collaborating closely with the Director of Human Resources, the HR Specialist oversees the employee lifecycle from onboarding to offboarding. This encompasses employment verifications, compliance oversight, status modifications, promotions, transfers, separations, and benefits enrollment.
  • **Leave Administration:** The HR Specialist acts as the administrator for leave of absence requests, tracking eligibility, return-to-work details, and modified duty assignments.
  • **Recruitment Coordination:** Assists in the recruitment process by placing job advertisements, gathering resumes, and addressing candidate inquiries. Works directly with applicants to obtain necessary employment documentation.
  • **Initial Candidate Assessments:** Conducts preliminary screenings via phone, video, or in-person as needed, evaluating candidates for suitability and coordinating next steps with department leads.
  • **Interview Facilitation:** Engages in interviews with various administrative levels throughout the hiring process, providing insights on candidate fit relative to job specifications.
  • **Maintenance of Hiring Resources:** Keeps HR documentation current, including forms, applications, interview protocols, job descriptions, and offer letters, ensuring compliance with all relevant regulations.
  • **Record Maintenance:** Ensures accurate and compliant recordkeeping for all employees and contractors.
  • **Reporting Duties:** Prepares necessary reports such as EEO-1 Component 1, California Pay Data, and other required documentation.
  • **Training Coordination:** Organizes training schedules and materials for employee orientation and ongoing training programs, maintaining up-to-date resources.
  • **Support for Electronic Systems:** Plays a vital role in the management of digital systems like Workable, DocuSign, and Kronos, ensuring smooth operational processes.
  • **Compliance Tracking:** Collaborates with HR team members and other hospital leaders to ensure employee compliance with training and health requirements.
  • **Administrative Support:** Provides general administrative assistance within the department, including filing, scheduling, and addressing employee concerns.
  • **Additional Duties:** Performs other related tasks as assigned by the HR Department or other administrators.

QUALIFICATIONS:

Education and Experience:

  • Associate's Degree or equivalent experience.
  • Minimum of three years in a Human Resources role preferred.
  • Familiarity with Federal and State employment laws.
  • Knowledge of employee benefit program administration.
  • Experience in managing detailed records.
  • Background in the healthcare sector preferred.
  • Current Nonviolent Crisis Intervention (NCI) certification (or to be obtained within the first month of employment).
