We are seeking a dedicated Construction Operations Coordinator with a solid background in the construction industry. This role will play a crucial part in supporting project managers with various administrative tasks related to ongoing projects.
Key Responsibilities:
- Assist project managers with all administrative functions concerning project documentation, including submittals, plans, daily reports, and Requests for Information (RFIs) as needed.
- Aid in the preparation of non-financial documentation for company projects, such as proposals and qualifications statements.
- Prepare and maintain subcontract agreements and purchase orders as directed by the project manager.
- Support permitting processes and job initiation activities.
- Manage job closeout procedures, including securing operation manuals and warranties.
- Oversee company data management and record-keeping systems, both electronic and paper-based.
- Review payment applications for completeness before project manager approval.
- Prepare reports, communications, and meeting minutes.
- Utilize construction management software and tracking systems to ensure project information is up-to-date and accessible to various stakeholders.
- Assist in managing subcontract bid processes and maintain subcontractor/vendor contact lists.
- Help in vendor selection and issuing Invitations to Bid (ITBs) to potential bidders.
- Follow up with bidders to provide additional information and ensure a comprehensive response on bid day.
- Prepare and distribute construction subcontracts and purchase orders.
- Manage subcontractor Certificates of Insurance and related documentation.
- Review subcontractor billings and code all invoices appropriately.
- Handle subcontractor RFI inquiries and prepare responses in collaboration with project managers and design professionals.
- Collect, record, and maintain subcontractor/vendor submittals for approval, ensuring timely return to suppliers.
- Prepare and file permit applications.
- Update and manage departmental policies and procedures manuals.
- Provide general office assistance and support as required.
- Represent the company through regular interactions with visitors, tenants, consultants, contractors, and public officials.
- Handle confidential and proprietary information with discretion and maintain confidentiality.
- Arrange travel logistics as needed.
- Perform other duties as assigned.
Qualifications:
- A bachelor’s degree is preferred but not mandatory.
- A minimum of 3 years of experience in construction administrative support or project management.
- Familiarity with technology for remote monitoring of construction progress.
- Proven ability to manage multiple projects in a fast-paced environment.
- Professional demeanor with a commitment to excellent customer service.
- Understanding of construction procedures and basic accounting terminology.
- Strong organizational skills and attention to detail.
- A proactive team player with a strong work ethic.
- Excellent verbal and written communication skills.
- Strong time management skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Project, PowerPoint).
- Knowledge of construction management software such as RedTeam or ProCore is preferred but not required.
- Must be legally eligible to work in the United States.
