Job Overview

The Clinical Supervisor position plays a vital role in the success of the Clinic Patient Access Center. Reporting to the Clinic Patient Access & SWBD Manager, this individual will oversee the daily operations of the department, ensuring timely and accurate performance, adherence to regulatory requirements, and exceptional customer service.

Key Responsibilities:

  1. Provide leadership and direction to a team of outpatient schedulers, bilingual staff, and PBX operators in a fast-paced environment.
  2. Assist patients on the phones as needed, demonstrating a working supervisor's ability to multitask and prioritize tasks.
  3. Monitor staff performance in phone systems, Epic, and other related systems to meet KPIs, service standards, and compliance within department protocols.
  4. Ensure adequate staffing levels to meet operational needs while maintaining the department budget, reviewing daily timecards, and managing PTO approvals and corrections within the payroll system.
  5. Interview, hire, orient, train, and schedule employees, evaluating performance and taking appropriate action, including promotions and disciplinary measures in conjunction with the Manager.
  6. Manage and coordinate scheduling grids for accuracy on the Clinic Patient Access Center intranet page.
  7. Assist with managing physician call calendar distribution to the team.
  8. Respond to patient and clinic concerns, offering the best possible appointment options and resolution to concerns in accordance with best practices and procedures.
  9. Submit and resolve RLDatix tickets regarding patient concerns/complaints and safety events within the department.
  10. Assist in creating departmental policies and procedures.
  11. Support the Manager with ordering department equipment, office supplies, and other necessary items.

Qualifications

Requirements:

  • High school graduate or equivalent.
  • Four years of relevant experience.
  • Working knowledge of MS Office Suite.

Desired:

  • Associate's degree in Healthcare Administration, Business, or a related field with two years of relevant leadership experience.
  • Knowledge of Epic or other EMR programs.
  • Knowledge of medical terminology and abbreviations.
