Position SummaryThe Training Operations Associate plays a vital role in supporting the Training Operations team within the National Coalition Institute, focusing on both Youth and Adult training initiatives. This role involves coordinating training programs and managing logistics, serving as the primary contact for consultants, and overseeing the daily administrative and logistical functions of the department and its events. A keen attention to detail and the ability to prioritize tasks efficiently with minimal supervision are essential.
Key Responsibilities- Assist in the logistical arrangements for training events, whether onsite or virtual, to ensure seamless execution.
- Manage travel logistics for training consultants and staff, including accommodations and expense documentation.
- Support the drafting and distribution of contracts.
- Collaborate with the finance team to review and process trainer invoices and monthly expense reports.
- Facilitate the ordering, printing, and distribution of training materials as required.
- Work with the Evaluation & Research team to develop course surveys for events to collect valuable feedback.
- Generate certificates of participation for attendees of training sessions.
- Compile and organize training reports post-events, tracking attendance and participation metrics.
- Regularly update databases and Learning Management Systems (LMS) with training event details.
- Support both Adult and Youth Leadership Initiatives, including annual conferences and forums.
- Maintain project data for the DEA Operation Engage Project and prepare monthly reports.
- Act as the main point of contact for the Institute & Training Operations team, providing essential information and support.
- Organize and maintain electronic files of contracts and relevant training documentation.
- Coordinate team meetings and events, utilizing scheduling tools to confirm availability.
- Engage with departmental staff, external consultants, and clients regularly.
- Document meeting minutes during monthly and quarterly virtual conferences and distribute them as necessary.
- Maintain the departmental Out of Office calendar.
- Provide assistance with various operational and administrative tasks as needed.
- Experience with virtual meeting platforms (e.g., Zoom, MS Teams, WebEx).
- Proficiency in Microsoft Office and project management software.
- Exceptional customer service and interpersonal skills.
- Strong attention to detail and organizational abilities.
- Effective verbal and written communication skills.
- Ability to manage multiple priorities and work independently or collaboratively.
- Skills in database and records management.
- Capability to thrive in a fast-paced, dynamic work environment with minimal oversight.
- A Bachelor’s degree is required.
