Position Title: Client Services Specialist

Role Summary: The Client Services Specialist (CSS) serves as the primary point of contact for clients at Veterinary Wellness Partners, fostering trust and confidence in our veterinary services. Key Responsibilities:

  • Greet clients and their pets warmly by name.
  • Handle incoming calls promptly and professionally using a multi-line phone system.
  • Screen and direct calls to the appropriate personnel.
  • Provide potential clients with detailed service descriptions before discussing pricing.
  • Manage faxes and relay messages efficiently to relevant staff, ensuring accurate documentation of patient information.
  • Document discussions with clients in medical records, noting date, time, key points, and any necessary follow-up actions.
  • Verify the accuracy of client contact information in medical and computer records.
  • Record pet weights during each visit in both medical records and the computer system.
  • Schedule appointments and surgeries in accordance with hospital guidelines.
  • Confirm appointments and surgeries with clients.
  • Address client inquiries regarding veterinary services and products, providing knowledgeable advice on wellness and preventive care.
  • Process prescriptions and provide clients with routine administration instructions.
  • Communicate veterinarians' recommendations during client check-out.
  • Prepare consent forms, treatment estimates, and discuss financial policies with clients.
  • Generate health certificates, vaccination proofs, lab reports, and euthanasia certificates.
  • Promote and sell retail items and pet food.
  • Encourage teamwork and collaboration among staff members.
  • Maintain clinic cleanliness, including the removal of animal waste, ensuring a neat and odor-free environment.

Financial Responsibilities:

  • Accurately enter charges for services rendered.
  • Explain invoices clearly, detailing all services and products provided.
  • Collect payments upon service completion, including processing credit cards and verifying identification for checks.
  • Verify client eligibility for charge accounts when applicable.
  • Record end-of-day financial balances, ensuring accuracy.
  • Be knowledgeable about fees for routine services.
  • Balance the cash drawer at the end of each shift.

Qualifications:

  • High school diploma or equivalent required.
  • Previous experience in customer service is essential.

Skills Required:

  • Able to thrive in a fast-paced environment.
  • Proficient in computer usage.
  • Familiarity with veterinary terminology is beneficial.
  • Exceptional customer service abilities.
  • Capable of maintaining accurate medical records and performing clerical tasks.
  • Ability to educate clients on various topics.
  • Experience in promoting hospital products and services.
  • Supportive of team members and their roles.

Physical Requirements:

  • Must be able to lift and carry supplies weighing up to 40 pounds without assistance.
  • Ability to sit, stand, and walk on hard surfaces for extended periods.
  • Proficient in typing patient records and prescription labels into the computer.
  • Comfortable working in a noisy environment with sounds from animals and equipment.
  • Adhere to safety protocols regarding exposure to various substances.
