Commercial Loan Administrator 2 Job Summary

The Commercial Loan Administrator 2, working under moderate supervision, performs a variety of duties related to loan documentation/servicing, customer relationship management, loan operation systems, and management reporting. This includes gathering necessary due diligence information and documentation from customers, preparing loan documents and coordinating loan closings with the loan officers. The Commercial Loan Administrator 2 typically works on loans of moderate complexity. The Commercial Loan Administrator 2 is responsible for understanding and enforcing bank policies and procedures to ensure that each loan is completed with all necessary approvals and documentation.

Essential Functions (primary functions and/or reasons the job exists in order of importance)

1. Works under moderate supervision, works with the Loan Officer to prepare and administer commercial loan documentation.
   • Prepares loan documents and disbursements for all types of commercial loans including lines of credit, term loans, commercial real estate, construction loans, SBA loans and SWAP loans.
   • Prepares completed loan packages for submission to Records Retention.
   • Administers the loan documentation process which includes verifying appraisal/EPA site assessments, ordering title work, performing property and UCC searches, obtaining insurance and payoff amounts, filing mortgages and UCC’s, processing and monitoring of construction loan draws and notifying accounting of funding requirements.
   • Enforces existing commercial loan policies and procedures.
   • Processes payments and knows when to notify management of payment issues.
   • Schedules and coordinates loan closings which may require meeting with customers to conduct the closing.
   • Reviews all peer documentation and COCC input to identify any potential errors and notifies management of any major issues.
   • Processes loan payments, loan payoffs and collateral releases within established guidelines.
2. Utilizes all applicable software/systems (e.g. COCC, LaserPro and nCino).
   • Prepares documents in LaserPro and/or reviews loan documents prepared by outside counsel.
   • Sets up and maintains loans in COCC.
   • Routes loans and tracks exceptions in nCino.
   • Stays current through training and awareness of regulation changes and system updates.
3. Assists with various areas of management reporting.

• Tracks documentation exceptions.
• Monitors document request reports, digital archive reports, and month end reports to identify any potential errors and actively works the lists to collect exceptions.
• Serves as liaison between lender and borrower to resolve exceptions in a timely manner.

1. Possesses a basic understanding of the underwriting process and reviews new loan requests for proper approvals, policy exceptions and conditions to close. Reviews loan documentation for completeness and accuracy and works with Loan Officer and/or customer to obtain missing information.
2. Provides customer service, both internally and externally, to include customer phone calls, research and monitoring loans email inbox.
3. Maintains awareness, understanding, and compliance with the Bank's internal policies and procedures, laws, and regulations appropriate for this position.
4. Provides assistance in response to regulatory and internal/external audit requests.
5. Travels occasionally in order to participate in special assignments, training, and/or travel between office locations.

Desired Qualifications/Experience/Certification/Education (in order of importance)

1. 2+ years of banking experience.
2. Working knowledge of loan documentation principles in one or more of the following: title work, real estate, commercial.
3. Problem solving, attention to detail, and ability to review documents for accuracy and completeness.
4. Excellent oral, written, and interpersonal communication skills resulting in the ability to interact with all levels of management and employee population.
5. Strong customer service orientation, attention to detail, and adaptability to various situations.
6. Experience with Microsoft Windows and Office (Excel, Word, etc.) or other transferable software packages.
7. Working knowledge of loan documentation systems similar to LaserPro.
8. High School diploma, GED, or commensurate experience.

• Ability to work effectively in an office environment for 40+ hours per week (including sitting, standing, and working on a computer for extended periods of time).
• Ability to communicate effectively in a collaborative work environment utilizing various technologies such as: telephone, computer, web, voice, teleconferencing, e-mail, etc.
• Ability to read a standard type document.
• Ability to physically and accurately file.
• Ability to travel as required.
