Role Summary: We are seeking a detail-oriented and proactive Assistant Property Manager to support the Property Manager in the comprehensive management of our varied property portfolio. This position is crucial in ensuring seamless operations and high levels of tenant satisfaction. The Assistant Property Manager will assist in property maintenance administration, leasing processes, tenant relations, and financial management duties.
Key Responsibilities:
- Support the Property Manager in daily operations, including tenant interactions, maintenance requests, and lease management.
- Maintain professional and courteous communication with team members, tenants, applicants, property owners, and funding entities.
- Conduct regular property inspections and coordinate necessary maintenance and repairs to uphold property standards.
- Assist in financial responsibilities such as rent collection, invoice management, and budget preparation.
- Provide administrative support for leasing activities, including the preparation of leasing documents, tenant screening, and property promotion.
- Address tenant inquiries and complaints, ensuring high levels of tenant satisfaction.
- Keep accurate records of property-related activities, including leasing, collections, tenant files, and service requests.
- Assist in preparing reports on property performance metrics, including occupancy and financial statistics.
- Support compliance with all relevant local, state, and federal regulations.
- Compile correspondence for tenants, property owners, and funding sources.
- Work collaboratively with the Property Manager on legal matters related to lease violations.
- Maintain a professional demeanor and appearance in the workplace.
- Assist in screening applicants and conducting property showings.
- Ensure all properties comply with local regulations, including necessary registrations and inspections.
- Log work hours and completed tasks in property management software.
- Assist in managerial duties in the absence of the Property Manager.
- Adhere to company policies and procedures.
- Perform additional duties as assigned.
Qualifications:
- High School diploma required; Associate or Bachelor’s degree in Business Administration, Real Estate, or a related field preferred.
- 1-2 years of experience in property management or a similar capacity.
- Strong understanding of property management principles for both residential and commercial sectors.
- Excellent organizational and communication skills.
- Proficient in property management software and Microsoft Office Suite.
- Reliable transportation and valid driver's license.
- Real Estate Leasing License preferred but not mandatory.
- Willingness to obtain a real estate license within one year of employment.
