Administrative Reception Coordinator

Position Summary:
- Front Desk Management: Handle moderate phone traffic with minimal in-person visits.
- Telephone Operations: Manage multi-line phone systems, take messages, and relay information as necessary.
- Independent Research: Locate contact information through the DPH website.
- Mail Handling: Sort and process incoming correspondence and packages.
- Outgoing Mail Processing: Utilize USPS postage meter and user-friendly Pitney Bowes equipment for outgoing mail.
- Directory Maintenance: Update and manage the building's phone directory, ensuring all contact information is current using Microsoft Excel.
- Visitor Reception: Welcome guests and guide them to the appropriate waiting area or meeting room.
- Badge Tracking: Monitor visitor badges and ensure all are accounted for at the end of the day.
- Document Services: Print, copy, and scan documents using multifunction devices.
- Delivery Coordination: Receive packages from various carriers.
- Signage Updates: Maintain and update signage using Microsoft Word.
- Workspace Preparation: Clean and set up cubicles for visiting staff.
- Sanitation Supplies Management: Replenish supplies for disinfecting stations, including wipes and sprays.
- Equipment Oversight: Maintain an inventory spreadsheet of equipment at touchdown locations.
- Locker Management: Charge lockers on a bi-weekly basis.
- PPE Accountability: Manage and distribute personal protective equipment supplies as required.
Required Skills:
- Telephone Management - 5 years of experience required.
- Customer Service - 3 years of experience required.
- Reception Experience - 2 years of experience required.
- Mail Processing - 1 year of experience required.
- Effective Communication - 1 year of experience required.
- Data Entry - 2 years of experience required.
- Physical Capability - Ability to lift/carry/push 30 lbs preferred (6 months experience).
- Inventory Management - 1 year of experience preferred.
