Position Summary

The Benefits Administrator is responsible for managing health and welfare programs, retirement plans, and various leave initiatives. This role involves the development, implementation, coordination, and reporting of benefit activities while ensuring compliance with applicable laws and regulations.

Key Responsibilities for Mid-Level

  • Facilitate the enrollment process for new hires, including benefits offerings and mid-year changes, ensuring compliance with deadlines.
  • Maintain confidential benefit records necessary for coverage implementation.
  • Validate vendor termination dates for compliance accuracy.
  • Notify vendors regarding employee and dependent terminations requiring COBRA notifications.
  • Assist customers with inquiries related to group health plans, claims, and retirement benefits.
  • Support the annual open enrollment process, including communication review for employees and retirees.
  • Process death claims and perform various administrative tasks as needed.
  • Ensure adherence to employment-related laws and regulations.
  • Maintain tracking logs and complete state and Medicare inquiries.
  • Assist with vendor invoice processing as required.

Key Responsibilities for Senior Level

In addition to the above, the Senior Level will include the following responsibilities:

  • Oversee eligibility, enrollment, and compliance for health and welfare plans and retirement accounts.
  • Administer Health Savings Accounts and ensure financial accuracy through reconciliation and data maintenance.
  • Monitor operational tasks and produce various reports to ensure data integrity.
  • Present benefits information during new hire orientations and retirement consultations.
  • Act as a liaison between employees and third-party vendors regarding claims and eligibility.
  • Manage accrual rewards and adjustments for personal time based on varying schedules.
  • Oversee Qualified Medical Child Support Orders and COBRA notifications.
  • Ensure accurate data maintenance in the benefits operating system.
  • Assist with the implementation of new programs and enhancements to the benefits system.
  • Identify and recommend improvements to service delivery methods.
  • Maintain benefits-related web pages and enrollment systems.
  • Validate payroll deduction files prior to submission.
  • Monitor ACA compliance regarding reporting and processes.
  • Support management with data requests and projects.

Qualifications

Mid-Level Requirements:

  • High School Diploma or equivalent; or a combination of education and experience.
  • Minimum of two years of relevant Human Resources experience.
  • Strong planning and prioritization skills with the ability to manage multiple projects under pressure.
  • Proficient in spreadsheet, database, and word processing applications.
  • Excellent communication and interpersonal skills.
  • General knowledge of applicable laws and regulations.

Senior-Level Requirements:

  • Bachelor's Degree in Human Resources or a related field; or equivalent experience.
  • Minimum of three years of HR experience, including benefits administration.
  • Strong customer service and communication skills.
  • Analytical skills for assessing and investigating issues.
  • Ability to collaborate with diverse teams.
  • Effective time management and ability to handle complex projects.
  • Knowledge of relevant laws and regulations, including ERISA and COBRA.
  • Ability to develop solutions within ambiguous situations.

Preferences:

  • PHR or SPHR Certification.
