Position Summary

The Benefits Administrator is responsible for overseeing health and welfare programs, personal time, retirement plans, 401(k) administration, benefit enrollment, mid-year adjustments, and various leave programs. This role involves the development, implementation, coordination, maintenance, communication, and reporting of benefit activities, ensuring compliance with federal, state, and local employment laws and regulations.

Key Responsibilities for Mid-Level

  • Facilitate the enrollment process for new hires, including benefits offerings and mid-year changes, ensuring compliance with departmental deadlines.
  • Maintain confidential benefit files and records essential for benefit coverage implementation.
  • Validate vendor termination dates bi-monthly to ensure compliance.
  • Notify vendors regarding employee and dependent terminations requiring COBRA offerings.
  • Assist internal and external customers with inquiries related to group health plans, claims, and retirement benefits.
  • Support the annual open enrollment process, including communication review for employees and retirees.
  • Process death claims and perform general office administration tasks as needed.
  • Ensure adherence to employment-related laws and regulations.
  • Maintain tracking logs and respond to state and Medicare inquiries.
  • Assist with vendor invoice processing as necessary.

Key Responsibilities for Senior Level

In addition to the above, the Senior Level will include the following responsibilities:

  • Administer eligibility, enrollment, and compliance for health and welfare plans, including health savings accounts and retirement plans.
  • Manage Health Savings Account contributions, including reconciliation and data maintenance.
  • Monitor financial and operational accuracy, running various reports and ensuring data integrity.
  • Present benefit plans during new hire orientations and assist potential retirees.
  • Act as a liaison between employees, retirees, and third-party vendors regarding claims and eligibility.
  • Oversee accrual rewards and adjustments for personal time based on various schedules.
  • Manage Qualified Medical Child Support Orders and COBRA notifications with vendors.
  • Ensure accurate benefit changes and data maintenance in the benefits operating system.
  • Assist with the implementation of new programs and enhancements to the benefits operating system.
  • Identify opportunities for service delivery improvements and collaborate with management for implementation.
  • Maintain benefits intranet pages and validate payroll deduction files.
  • Monitor ACA compliance regarding reporting and processes.
  • Support data requests and projects as needed.

Qualifications

Mid-Level Requirements:

  • High School Diploma or equivalent; or a combination of education and experience.
  • Minimum of two years of relevant Human Resources experience.
  • Strong planning and prioritization skills with the ability to manage multiple projects under pressure.
  • Proficient in personal computer applications, including spreadsheets and databases.
  • Effective communication and interpersonal skills for collaboration across all organizational levels.
  • General knowledge of company policies and applicable laws and regulations.

Senior-Level Requirements:

  • Bachelor's Degree in Human Resources, Management, or a related field; or equivalent experience.
  • Minimum of three years of human resources experience, with at least one year in benefits.
  • Exceptional customer service and communication skills, with the ability to resolve sensitive issues.
  • Strong analytical and investigative skills for effective decision-making.
  • Ability to work collaboratively with diverse teams and individuals.
  • Effective time management and prioritization skills for complex projects.
  • Comprehensive knowledge of company policies and relevant laws, including ERISA and COBRA.
  • Ability to develop innovative solutions within ambiguous situations.

Preferences

  • PHR or SPHR Certification.
