Position Overview
The primary responsibilities of the Customer Service Specialist include:
  • Overseeing customer repair orders and ensuring accurate repair estimates.
  • Invoicing repair orders for various customer accounts.
  • Maintaining and updating service department records and files.

This role requires a combination of standing, walking, and sitting for extended periods, typically ranging from 8 to 10 hours per shift.

A positive attitude and exceptional customer service skills are essential. Previous experience in a similar role is required.


Key Responsibilities
  1. Provide outstanding customer service through various communication channels.
  2. Coordinate customer interactions with service personnel, including scheduling and updates.
  3. Maintain ongoing communication with customers throughout the repair process.
  4. Collaborate with management and shop personnel to ensure timely completion of repairs.
  5. Monitor repair progress and inform customers of any changes.
  6. Calculate labor charges based on established standards and obtain customer approval.
  7. Track issues on work orders and resolve them promptly.
  8. Promote sales of services and products, staying informed about current offers.
  9. Stay updated on service bulletins and relevant literature.
  10. Manage service department purchase orders and ensure proper processing.
  11. Follow up with customers post-repair to address any concerns.
  12. Keep invoicing current to meet departmental goals.
  13. Resolve parts-related issues with the parts department.
  14. Maintain professionalism and open communication with all team members.
  15. Participate in required training sessions.

Qualifications
We are looking for a motivated self-starter who can work effectively both independently and as part of a team. Candidates should possess:
  • A high school diploma or equivalent.
  • A solid understanding of heavy truck repair methods.
  • Strong organizational and time management skills.
  • Exceptional customer service and communication abilities.
  • Previous experience in a related field.

Working Conditions
This position may involve physical demands, including lifting up to 50 pounds. The role may require working in an office setting as well as moving around the dealership to interact with various personnel.
