Role Summary:
The Scheduling Coordinator plays a crucial role in efficiently organizing ABA service appointments for new clients and therapists across multiple clinic locations.

- Proficiency in learning new software systems
Core Responsibilities:
- Develop ABA therapy schedules for new clients based on clinical recommendations across designated clinic locations.
- Monitor incoming clients during the assessment phase to proactively identify scheduling opportunities.
- Communicate scheduling details and confirm initial therapy start dates with families.
- Collaborate with Care Coordination, Clinical, and Onboarding teams to ensure timely client access to services.
- Work alongside Program Managers, Onboarding, and Training departments to ensure efficient scheduling of candidates with families.
- Utilize the EMR system to align therapist availability with client needs and document scheduled appointments.
- Confirm that necessary authorizations for ongoing services are secured and attached to appointments prior to session commencement.
- Optimize staff schedules to enhance employee productivity.
- Ensure client schedules maximize authorized service hours.
- Strive to fulfill the complete authorized service prescription for each client and clinician availability.
- Responsible for data entry into various electronic systems.
- Ensure that all Behavior Therapists have completed required training and competencies before scheduling clients.
- Act as a liaison among departments: Onboarding, Care Coordination, and clinics.
- Collaborate with Practice Managers to identify and implement upcoming client schedule adjustments.
Qualifications:
- Bachelor's Degree preferred
- Previous experience in the healthcare sector
- Covid-19 vaccination required
- Experience in high-volume scheduling within a healthcare organization is preferred
- Basic to intermediate computer skills, including familiarity with Electronic Medical Record Systems and Microsoft applications
- Strong sense of urgency and responsiveness to client needs
